The position is located within the Medical Center's Environmental Management Service (EMS) reporting to the EMS Chief. The primary purpose of this position is to provide program support and administrative assistance to the EMS Chief and staff. The position assists with all aspects of the
administrative management of EMS, human resource staffing, grievance tracking and timeframes, preparation of position management, development of database or spreadsheets to automate paper processes within EMS.
Duties
Primary responsibilities include assisting Chief, EMS with implementing timely responses to all actions required by the department and its supervisors such as V ACO Directives, IG Actions, VISN Requests, Director Requests, or other work-related requests for EMS departments.
Tracks and maintains all current documents necessary to meet requirements of accrediting
bodies such as The Joint Commission.
Oversees administrative responsibility for EOC program. Tracks VA Medical Center Service Line and Department deficiencies. Provides notification of 14 day deficiency monitoring and correction.
Prepares quarterly EOC deficiency reports.
Collects and maintains CWT work hour's database.
Collects and maintains Regulated Medical Waste (RMS) manifests and data tracking.
Prepares GEMS Committee reports concerning Regulated Medical Waste (RMW), Waste Management and Recycling.
Uses the Veterans Health Information & Technology Architecture (VISTA) to access information in the Medical Center Computer System.
Maintains and updates all EMS regulations, polices, instructions, standing memorandums, and guidelines pe1iaining to JCAHO, OSHA, EPA, PA DEP, VACO Environmental Management Technical Procedures for Housekeeping, Waste Management, Linen/Lau:1d1y Services, and Pest Control.
Maintains and coordinates all suspense's within EMS. This includes preparing responses including data collection for various suspense and routine reports.
Updates EMS policies and memorandums; as required, develops policies and memorandums for EMS.
Assists EMS staff with a full range of human resources requirements including assisting supervisors with projecting staffing needs, writing position descriptions, developing job reviews, preparing performance appraisals and competencies, and drafting disciplinary and adverse actions.
Provides administrative support to EMS as a fund control point clerk in support of budget administration and financial systems.
Monitors Control Point (CP) funding and submits necessary funding requests.
Maintains and tracks all equipment inventories lists (EIL's) for EMS. Maintains 5 year plans and keeps project reports up to date.
Prepares Purchase Requests, Equipment Orders as required. Collects data for Statement of Work (SOW) justifications.
Assists Assistant Chief in Researching and ordering equipment for EMS. Submits 2237's as need for Control Point and Requisitions.
Serves as the EMS Key/Lock Manager.
Performs other duties as assigned.
Work Schedule: 7:00 am to 3:30 pm, Monday thru Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/21/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated in the table, are not required by this standard to have general experience, education above the high school level, or any additional specialized
experience to meet the minimum qualification requirements.

Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required.
