The Scheduling Site Manager, Nashville establishes, evaluates, maintains the strategic direction and success of the Business Office. The Nashville Business Office is comprised of administrative staff, whose primary responsibility is to ensure appropriate and timely access to care through multiple modes, not limited to, telephone care, secure messaging through MyHealtheVet, scheduling clinic visits..

Duties

The Scheduling Site Manager ls responsible for working collaboratively with the Deputy Chief of Business Office, Chiefs of all clinical services, as well as the Executive Leadership Team (EL T) to ensure appropriate coverage for smooth clinic operations on a daily basis, and adherence to national policy regarding the timely and accurate scheduling of Veterans for outpatient appointments and procedures. The Scheduling Site Manager, Business Office also has responsibility for the enterprise-wide program that addresses the elevation and resolution of Veteran complaints. The duties will include but are not limited to: Collaborates with leadership to provide input, ideas, or changes that they believe would improve work processes. Uses working knowledge of computing technology, medical information, communication skills, and leadership qualities. Provides avenues in enhancing the outpatient packages, implementing changes to the programs, and makes viable recommendations to management. Provides supervisory authority over first and second-level Supervisory MSAs in five organizational units including: PACT; Surgery: Specialty: Medicine: and Mental Health subordinate levels. Coordinates and supports mechanisms for successful data entry designed to ensure accurate, timely, and consistent data is entered into the Medical Center database. Collects data concerning patient care activities makes computations as required and reports monthly, quarterly, or annually to management. Develops detailed plans, goals, and objectives for short and long-range implementation and administration of the program. Uses working knowledge and experience in the field of patient administration, inpatient and outpatient, medical records, and related fields of medical administration. Develops policies and procedures for workload management. Applies working knowledge of interrelationships between scheduling requirements and other medical care services is used to evaluate and change or adapt new local procedures to meet regulatory requirements and healthcare practices in compliance to VA directives, laws, or polices. Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VA statues and polices. Protects all data from unauthorized release or from lose, from alteration, or from unauthorized deletion. Prioritizes issues/problems and or situations. Resolves problems or copes with issues which directly affect the accomplishment of principal agency goals and objectives. Provides analysis of interrelated issues of effectiveness, efficiency, and productivity of substantive mission-oriented programs.Identifies and correct problems as they pertain to capturing accurate workload information. Provides customers with consistent information according to established policies and procedures. Handles customer conflicts and problems constructively and appropriately. Conducts special studies for identifying opportunities to improve customer service and process quality. Other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/18/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. In addition to meeting the time-in-grade requirement, you must meet one of the following: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade SG-07 in the normal line of progression for the occupation in the organization. Specialized experience is defined as: Supervise others with planning, assigning, scheduling, and evaluating work; give advice, counsel, and instructions to subordinates; make hiring, termination, award, and promotion recommendations; determine and schedule training; and exercise significant responsibilities in dealing with officials of other units or organizations or relaying information to management officials of high rank. Working knowledge of pertinent laws, regulations, policies, and guidelines, and procedures in the field of patient administration, inpatient, and outpatient, medical records, and related field of medical administration. A comprehensive scheduling knowledge of interrelationships between scheduling requirements and other medical care services to evaluate and change or adapt to new local procedures to meet regulatory requirements and health care practices in compliance to VA directives, laws, and policies. Working knowledge of VISTA, Scheduling Directive to manage, control, secure, coordinate, and implement computer activities. Extracting data from existing sources and identifying other resources which will prove useful for medical center scheduling operations. Working knowledge of computer programs in presentations, databases management, and word processing for proper formatting and application in preparation of formal correspondence in response to inquiries, reports, and audits. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a master's or equivalent degree or two full years of progressively higher-level graduate education leading to such a degree. Note: the work of the Supervisory Program Analyst is sufficiently technical or specialized, therefore, graduate education alone may not provide the knowledge, and/or skill to perform the work. Course work must be related and clearly provides applicants with the background of knowledge and skills necessary for successful job performance. (Transcripts must be provided) OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond one full year (18 semester hours) of graduate level education may be combined with specialized experience to qualify for this position at grades GS-9. Such education must demonstrate the knowledge, skills, and abilities necessary for the position. Completed course work must be related and clearly provides applicants with the background of knowledge and skills necessary for successful job performance. (Transcripts must be provided, and experience must be documented in your resume.) Typing Proficiency: A minimum typing speed of 40 words per minute is required. Applicants must either submit evidence of typing proficiency or self-certify by written statement their ability to type 40 wpm. Physical Requirements: The work is mainly sedentary. Some physical exertion may occasionally be necessary, such as bending, stooping, stretching, and lifting moderately heavy objects such as packages of paper, files, or manuals.
