About the Position: This position supports the mission of the J3 Director, Operations Directorate, with the Defense Health Agency, located in Falls Church, Virginia. Note: A recruitment incentive may be authorized. Salary negotiation may be available for those candidates who are new to Federal service.

Duties

Incumbent serves as Administrative Support Specialist performing a wide variety of office management and administration duties to ensure smooth and efficient operation of the J3 Directorate. Provide key assistance to the staff by managing one-time, special, and recurring projects and programs. Responsible for managing the operational schedule and directs the administrative operations for the Director and Deputy Director. The incumbent helps maintain communication with the entire J3 staff through organizing staff All Hands meetings. Uses word processing systems and other office systems to prepare letters, memorandums, and reports. The incumbent serves as the focal point for the receipt and review of incoming tasks, projects, correspondence and other communications and materials. Maintain Director and Deputy Director, J3 official files in accordance with DoD and DHA regulatory guidance.

Requirements

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Secret security clearance or access for the duration of employment. A background investigation and credit check are required.
  • This position is a Testing Designated Position subject to pre-employment screening and random drug testing. Selectees will be required to consent to participation in random drug urinalysis testing.

Specialized Experience: One year of specialized experience which includes coordinating schedule for staff or leadership on administrative management activities, drafting various forms of written communication (such as emails, reports, letters, etc.), and aiding staff in various administrative projects. This definition of specialized experience is typical of work performed at the second lower grade/level position in the federal service (GS-07). OR Education: Master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Business Administration. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond the first year (total graduate semester hours minus 18) by 18. Add the two percentages. You will be evaluated on the basis of your level of competency in the following areas: Computer SkillsCustomer Service (Clerical/Technical)Management SupportWritten Communication Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-07).
