Incumbent serves as Program Support Assistant (PSA) under the Community Based Outpatient Clinic Leadership to support the Patient Aligned Care Teams (PACT) and ancillary clinics located within the Eastside Community Based Outpatient Clinic.
Duties
-Performs work related to !he acquisition and/or development of program information, resource materials, and personnel to support the activities of the PACT Program and Ancillary Services.-Completes special projects in support of the policy development and technical PACT Program and Ancillary Services activities.
-Manages all PACT and Ancillary Services office administrative tasks such as schedule management, filing, coordinating meetings, composing letters and memorandums. Schedules appointments and meetings, making arrangements for time, participants and locations in accordance with instructions provided. Schedules, emails invites, and coordinates room availability for PACT and Ancillary Services training, meetings, Shared Medical Appointments (SMA) , and weekly PACT Centric Action Plan meetings with PACT members and the executive leadership.
-Screen/receive telephone calls in a courteous and timely manner, determine the nature of requests and provide information desired using privacy rules and established clinic processes, PSA will retrieve voicemail messages, forward or take messages per PACT Team and Ancillary Services protocol.
-Maintains the facility PACT Metric Dashboard by researching, printing, updating, and posting data that is presented biweekly to the Executive Leadership by the PACT Coordinator.
-Maintain all personnel related files and records such as competencies, performance ratings, position descriptions, awards and personnel actions.
-Updates daily PACT and Ancillary Services clinical staffing assignment board.-Updates, maintains, and distributes the internal phone roster that includes all Teams located in the CBOC.
-Maintains automated data in PACT and Ancillary Services programs to track suspense on items such as milestones, progress reports, funding accomplishments and compliance strategies. Tracks and trends issues related to PACT and Ancillary Services program effectiveness and implementation.
- Participates in performance improvement activities related to the PACT and Ancillary Services Program quality improvement processes and offers performance improvement advice to PACT and Ancillary Services Staff.
-Transcribes dictation of minutes of various meetings which the Nurse Manager and Administrative Officer chairs.- Coordinates travel arrangements to ensure necessary paperwork is completed prior to and after travel.
-Serves as primary Timekeeper for nursing staff within the CBOC.
- Prepares work order requests for all government-furnished cell phones, office phone and laptops and (IT) work orders.
Work Schedule: Monday to Friday, 8:00am to 4:45pm

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support by composing letters and memorandums; schedules appointments and meetings; researching, collecting, compiling and tracking data for information purposes; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using Microsoft Word, Outlook, Excel, and PowerPoint; ensuring proper format; answering telephones, referring visitors, and providing information. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. (TRANSCRIPT REQUIRED). OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the second year (in excess of the first 60 semester hours post high school) and specialized experience as described above, which meet the total experience requirements for this grade level. (TRANSCRIPT REQUIRED)

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
