The Supervisory Medical Support Assistant position is located in the ED/Eligibility Department in Patient Administration Services at the Jesse Brown VA Medical Center location at 820 S Damen Ave, Chicago, IL 60612.

Duties

The Supervisory Medical Support Assistant (MSA) plans and directs programs at the medical center and has full supervisory responsibilities for MSAs and at least one MSA team leader or Supervisor. Duties include: -ED Supervisor is responsible for overview of the ED staff, Fast Track and Triage on 24/7 operation -Assigns and evaluates the work of subordinate staff they are responsible for creating schedules, scanning documents into veterans medical records. -Resolves complex problems to ensure patient services are met. -Evaluates new products, equipment, and systems in order to make recommendations for improved operations. -Identifies educational or training needs of staff, Coaching and development of staff for mid/annual performance evaluations -Makes final decision on selections for vacant positions. -Evaluates performance and takes disciplinary action when necessary providing feedback to staff on corrective actions, monitoring movement list to identify G & L errors -Enrollment & Eligibility Supervisor is responsible for Hospital admissions throughout the duty, overview of front line operations for veterans enrolling in VA healthcare and obtaining their Veterans Health Insurance Card. -Extracts and analyzes data in order to provide reports in support of performance measures to senior management. -Plans and organizes monitoring phone calls to ensure compliance with the Standard Operating Procedures . -They generate reports for staff, resolve encounter errors, complete audits on enrollments and scheduled appointments -Responsible for maintaining the confidentiality of information obtained to carry out required duties. -They serve as the Fugitive Felon Program Coordinator and Enrollment Coordinator. -Communicates with physicians, case managers, and other allied health professional staff. -Works independently making decisions based on guidelines, precedents and regulations. -Other related duties as assigned. Basic Requirements: The following are the basic requirements and amounts of experience and/or education required to qualify for this position. Creditable experience is defined as, experience that demonstrates the knowledge, skills, and abilities (KSA's) associated with current Medical Support Assistant responsibilities. Experience satisfying this requirement may be paid/non-paid employment as a Medical Support Assistant. English Language Proficiency Experience - Six months experience of clerical, office, customer service, or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position, OR Education - One year above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university OR Combination - Equivalent combinations of experience and education are qualifying for this position. (Transcripts Required) In addition to meeting the basic requirements stated above, the following qualifications criteria must be met in order to qualify at the GS-8 grade level for this Supervisory MSA position. Specialized Experience: One (1) year of specialized experience equivalent to the GS-7 grade level, leading or supervising MSAs or equivalent administrative patient support staff in a medical inpatient, outpatient or interdisciplinary setting. Specialized experience must include the ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines; skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations; ability to provide staff development and training; ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner; ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work; and the ability to review and monitor data to ensure all reports are complete and accurate; advanced knowledge of managing a clinic; advanced knowledge of policies and procedures associated with operational activities that affect patient flow, patient care, and the revenue process; and advanced knowledge of medical terminology. In addition, candidates, must demonstrate the following Knowledge, Skills, and Abilities: Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancement. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. Physical demands do not exceed those of a typical office setting. There may be some walking, standing twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying of light items. Some positions may require sitting for long periods of time at a computer terminal typing data while talking on a telephone headset. Work Environment: The work environment involves everyday risks or discomforts, which require normal safety precautions. The work requires safe work practices with office equipment, avoidance of trips and falls and observance of fire regulations. The work area is adequately lighted, heated and ventilated. The employee works in a close proximity to patients, and is therefore, exposed to communicable diseases. Some exposure to verbal abuse may be experienced in certain position.
