About the Position: Serves as a Management and Program Assistant for the Operations Division Administrative Officer providing a variety of services essential to support the efficient functioning of an organization with approximately 350 employees dispersed over numerous projects and field offices in the Pacific Northwest.

Duties

Serve as a conduit for information, ensuring key Division leaders are aware of critical administrative matters. Provide authoritative advice and guidance to Division supervisors and clerical staff on correspondence policies and procedures. Train and advise clerical staff on procedural and administrative processes. Review correspondence, edit or returns to origin as needed, ensuring official written communication ensuring compliance with established standards, policies, and regulations. Address general pay and leave, benefits, new employees in-processing, out-processing of transferring, separating, and retiring employees. Establish and maintain tracking mechanism for performance appraisal cycles to ensure suspense dates are met. Collaborate with Resource Management on the district manning document (DMD) to ensure accuracy. Monitor progress and follow-up on personnel actions until position is filled and on-boarded. Establish and maintain database on training for the division. Prepare, collect, and submit training surveys to the Chief, Operations division. Collect and compile statistical and performance data on various activities for use by supervisors in connection with management or other studies.

This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07). Specialized Experience for the GS-09: One year of specialized experience which includes all of the following: planning and managing the daily administrative functions of an office; using an automated financial management system; and performing varying office assignments in areas of financial support, personnel matters, travel coordination, time and attendance, or other areas of office support. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-08). For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
