This position is a Secretary (OA - Executive Assistant), GS- 0318-9/10 working in Bloomington, Minnesota for the R3-Office of the Regional Director. Duties

As a Secretary (OA) your duties will include but are not limited to the following: Plans, coordinates, and directs the management and the administration of the Regional Director's staff. The incumbent devises and implements effective methods to handle work details efficiently and accurately. Develops necessary plans for the office and procures materials necessary for smooth office operation. The Regional Director and Deputy Regional Director set the work schedules and deadlines to be met, with input from the incumbent. Supports Regional Director and Deputy Regional Director's efforts to provide guidance, coordination, and direction, both orally and in writing, to the assistant regional directors, regional supervisors, lead secretaries, and other key staff in Washington and the Region, to assure consistency and routine interaction between activity support staff and the implementation of policy and standards. Plans numerous and changeable itineraries and commits travel arrangements for the Regional Director, Deputy Regional Director, and Chief of Staff. Prepares necessary travel authorizations and vouchers. Schedules and denies meeting commitments for the Regional Director/Deputy Regional Director with the White House, state representatives and officials, other Federal agencies, congressional representatives, and private groups, using judgment as to the appropriateness of Regional Director/Deputy Regional Director involvement. Actively participates in Regional meetings and records, as required, documentation of information conveyed, actions taken, decisions made, and/or assignments given. Prepares, edits, and distributes meeting notes.

Qualifications

Only experience and education obtained by 11/08/2024 will be considered. In order to qualify for this position, you must possess the Minimum Qualification Minimum Qualification GS-09 One year of specialized experience equivalent to at least the GS-08 level. Specialized experience includes the following: providing dedicated administrative support to a manager or single office/program, such as arranging travel, maintaining calendars and schedules; coordinating highly visible correspondence and information requests; planning and coordinating arrangements for professional meetings and conferences. Minimum Qualification GS-10 One year of specialized experience equivalent to at least the GS-09 level. Specialized experience includes the following: executive level administrative support to a team of senior level managers or to multiple offices/programs, such as arranging travel, maintaining calendars and schedules; coordinating highly visible correspondence and information requests; planning and coordinating arrangements for professional meetings and conferences; and giving guidance to other administrative staff throughout an organization. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
