Duties
Serves as the principal office manager for the Director’s office, ensuring that the practices and procedures used by secretaries in subordinate offices are consistent with those of the Director.
Develops, implements, and recommends changes to administrative procedures and methods to be used by secretaries in subordinate offices throughout the organization.
Prepares and conducts periodic training sessions for all secretaries and/or administrative support personnel in subordinate offices.
Responds to inquiries and administrative problems brought to the Director’s office by members of the staff and officials of the Washington Office, State and federal government offices.
Maintains control over the Director’s and Associate Director’s appointments, calls, and schedules.
Serves as liaison between the Director, subordinate staff offices, and numerous other organizations by keeping them informed of the Director’s policies and views on current issues.
Plans numerous and changeable travel itineraries and commits travel arrangements for the Director and Associate Director.
Monitors and maintains official files for the Office of the Director.

- This position requires a qualified typist, able to type a minimum of 40 words per minute.
- May require a one-year probationary period.
Qualifications

For GS-08: You must possess one (1) full year of specialized experience at or equivalent to the GS-07 level that is equivalent in difficulty and complexity. Specialized experience is defined as implementing office operations by following secretarial procedures and policies identified by supervisor; serving as clerical liaison between supervisor and staff; scheduling and/or arranging meetings or conferences; performing the following administrative functions: completing travel arrangements, reviewing and drafting correspondence, screening visitors and telephone calls, scheduling meetings, and utilizing various office automation software.
For GS-09: You must possess one (1) full year of specialized experience at or equivalent to the GS-08 level that is equivalent in difficulty and complexity. Specialized experience is defined as managing office operations by developing and implementing secretarial procedures and policies; serving as lead clerical liaison between supervisor and staff; scheduling and/or arranging meetings or conferences; performing the following administrative functions: completing travel arrangements, preparing travel orders, reviewing and drafting correspondence, overseeing the work of Division clerical staff, screening visitors and telephone calls, scheduling meetings, and utilizing various office automation software.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
