The position will be located within the Business Office/Medical Records Unit at the VA Portland Health Care System.
Duties

Major duties and responsibilities include but are not limited to:
Distributes and balances the workload among staff
Instructs employees in specific tasks and job techniques and make available written instructions and reference materials as necessary; provides on the job training to new employees.
Maintains current knowledge and answer questions of other employees on procedures, policies, directives, etc.
Provides support as a timekeeper for personnel accounting purposes and assists the supervisor is the daily accounting of personnel and equipment.
Provides advice and help to management on medical records requirements and standards issued by a variety of organizations.
Conducts evaluations of departmental activities to be sure they meet current professional standards and makes recommendations for changes.
Manages the workflow so production meets time frames and avoids backlogs.
Monitors and screens all incoming documents and uploads to ensure accuracy and efficiency and reports discrepancies and trends to the Medical Records Supervisor for action.
Participates on hospital committees which address medical records, quality assurance, and utilization review.
Utilizes office equipment, computer programs and software, including but not limited to Computerized Patient Record Systems (CPRS), Veterans Benefits Administration - File Tracking System (VBA-FTS), VistA Imaging, and computer record tracking applications. Abstracts and compiles data from daily employee reports, postal letters, emails, meeting notes, and instructive conversations for input to reporting systems.
Makes appropriate disposition of incoming correspondence, and when appropriate, makes routine replies or prepares accurately and expediently all correspondence, reports, procedures and other materials into final form, from rough drafts, assuring proper English language, grammar, spelling, punctuation and appropriate style.

Qualifications
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. ~AND~
In order to qualify for this position, you must also possess at least one of the following minimum qualifications:
SPECIALIZED EXPERIENCE: At least one (1) full year of specialized experience equivalent to the next lower grade level (GS-4) in federal service. Qualifying specialized experience is experience providing technical instruction and mentoring others regarding documents scanning and electronic document importing management issues, faxing and receiving of documents, and final disposition of documents; resolving problems; and using current computer technology associated with medical, employee, or other types of records/files. NOTE: Applicants wishing to receive credit for such experience must clearly indicate the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. ~OR~
EDUCATION SUBSTITUTION: Successful completion of four (4) years of education above the high school level (in any field). NOTE TO APPLICANTS: This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.
