This position is the Program Support Assistant assigned to the VA Ann Arbor Healthcare System Patient Care Service. This incumbent serves as the Program Support Assistant for the Supervisory Administrative Officer and assist the Associate Director of Patient Care Services (ADPCS); by performing general and complex office/work auxiliary to the work of the organization.
Duties
MAJOR DUTIES AND RESPONSIBILTIES:
Oversees multiple Time and Leave Units assigned as well as serves as a backup timekeeper to two other timekeepers within Patient Care Services.
Scheduling interviews and maintains timeliness of the application flow process for the Nursing Office.
Arranges conference calls, meetings, and/or appointments with individuals, and/or groups (within the medical center) for the Administrative Officer, coordinating time and place, and securing necessary material, equipment, and location.
Attends, records, and distributes minutes for tasks force such as Falls, Dementia and any upcoming Committees as assigned by the ADPCS.
Analyzes Patient Care Services nursing workforce and turnover characteristics; forecast trends and makes recommendations for improvement in processes.
Assist with employee location assignments are accurate for Avanced Medical Support Assistant's, Nurses and Administrative Staff by looking in Acustaf to ensure employees are assigned to
correct service areas.
Following trends in location assignments to ensure clinical coverage areas are accurately depicted and reporting the trends to the Supervisor for official reporting.
Assisting in attendance forecasting by providing data such as trends in assignments versus absences in coverage areas so Supervisor can prepare for detailed absence reports (SL, AL, LWOP, etc.)
Work Schedule: Monday - Friday, 7:30am - 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/25/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Timekeeping over multiple T&L's
Assisting with running data reports
Attending recording and distributing meeting minutes
Versatile in setting up calendar invites to include: interviews, meetings and conference calls
Assisting with identifying accurate employee location assignments in Acustaf

Physical Requirements: The work is mostly sedentary, but requires some stooping, bending, reaching, lifting, pushing, good eyesight and hearing. The lifting or carrying of objects involves objects weighing no more than ten pounds. The ability to concentrate on a task being performed is necessary due to the frequent nature of interruptions during a normal workday.
