This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the Raymond G. Murphy VA Medical Center (VAMC). The primary purpose of this position is to provide administrative and clerical support necessary to support the management and coordination of the Fisher House and Hotels for Heroes Programs.
Duties
Serve as point of contact for initial inquiries to include lodging eligibility, referral processes, staff/volunteer opportunities, monetary donations and the appropriateness and offer of in-kind donations; as well as community, guest, patient, military liaison and clinical staff inquiries regarding policies, procedures and standards.
Assist with Fisher House events and supply management, both of which require full knowledge and understanding of appropriated and non-appropriated accounts, to include general post funds.
Serve as the purchase order clerk for the submission of VA Form 2237s for the request, turn-in and receipt for property or services.
Coordinate all files management and is responsible for the management of all equipment and supplies.
Provide administrative and clerical support necessary to support the management and coordination of both the Fisher House and Hotels for Heroes Programs.
Place all eligible referred individuals on the waiting list through updates to the stand-alone Fisher House database.
Maintain the database to ensure accuracy of currently lodged guests, upcoming departures and needs for extension, cancellations and re-bookings, daily room availability, and all projected lodging needs.
Track program census and length of stay using software packages such as Microsoft Excel.
Maintain data on all overflow lodging needs as supported by the Hotels for Heroes Program.
Interact with a variety of stakeholders, to include patients, guests, clinical providers, military liaisons, volunteers, community supporters, hospital leadership, VACO Program Manager, Congressional staffers, Fisher House Foundation personnel and the public; all from multiple cultures and generations.
Meet the needs of customers while supporting the Medical Center and Fisher House missions. Establishes and maintains rapport with customers and uses a friendly, professional; courteous, and respectful approach to all customers and colleagues.
Provide accurate, clear, consistent, constructive, and timely information to internal and external customers.
Greet guests and conduct guest orientations and safety briefings.
Exercise independent judgment in addressing unanticipated situations presented by program stakeholders (guests, volunteers, community suppliers, etc.), particularly while working off-tours to include evenings and weekends and will have well developed communication skills to sensitively and diplomatically handle varied, difficult, one-of-a-kind and/or challenging situations.
Performs other related duties as assigned.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday through Friday, 8:00a.m. - 4:30p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/23/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. For a GS-6 position you must have served 52 weeks at the GS-5.The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. GS-5 Qualifications:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing customer service; Reading and interpreting regulations; Ensuring customers needs, questions, and concerns are met. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond High School.
GS-6 Qualifications:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communicating effectively using verbal and written communication skills; Resolving issues using regulations, policy and procedures; Utilizing Computer system software (MS Word, Excel, PowerPoint, etc); Planning and organizing work to meet deadlines.

Physical Requirements: The duties and responsibilities of the position require mobility between various floors and rooms within the Fisher Houses and between the Fisher Houses and various other buildings at the hospital. Average physical ability, dexterity, and strength are needed for this position. This includes preparation for open houses and special programs, moving/lifting of equipment ( e.g. 100 cup coffee pot, boxes of donated items, up to 40 pounds, etc.).
