The Incumbent provides administrative and secretarial support to management teams of services throughout Patient Care Services (PCS) at the Tuscaloosa Veterans Affairs Medical Center (VAMC).
Duties
Receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public.
Provides public contact support services (general and specialized) to include answering telephones, referring visitors and providing information about the agency.
Responsible for processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Edits letters, composes letters, records, and transcribes committee minutes, prepares reports, reviews correspondence for
Develops background information and prepares outlines for supervisor's public speaking engagements, papers, and correspondence/ reports.
Schedules appointments, coordinates meetings, and/or schedules conferences for Service Line Management Team.
Schedules all interviews for candidates to positions within the respective Service Line.
Provides research and background information on the subject matter of meetings without direction.
Attends meetings and follows up on action items with appropriate staff members independently.
Responsible for creating timesheets for each employee assigned to Time and Leave (T&L) Units.
Conducts reviews for compliance and accuracy and serves as a resource for other timekeepers within clinical service areas.
Responsible for maintenance and resolution of pay period exceptions.
Prepares and maintains appropriate forms for human resources actions to include preparing HR forms and SF 52's for separation, recruitments, change in pay status, change in name, etc.
Tracks recruitments and announcements for the Service Line.
Obtains and monitors use of services, supplies, or equipment for the office.
Answers questions concerning policies and procedures related to support/office services and new projects, requests, and schedules in priorities and commitments.
Prepares equipment requests, including requests for IT or medical equipment.
Submits electronic requests for IT service and access to menus and software applications for management and employees.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8:00 am - 4:30 pm Work schedule is subject to change based on agency need.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/18/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Specialized experience is secretarial or administrative assistant support work performing routine clerical and organizational tasks; preparing correspondence and other documents; using automated software applications such as Microsoft Office Suite (Word, Excel, and PowerPoint); answering the telephone and taking messages; scheduling appointments and updating calendars; handling incoming and outgoing correspondence; editing documents; and maintaining files and databases.
Proficiency Test. Type 40 wpm.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
