This Program Support Assistant position is located in the administrative office in the Engineering Service at the Jesse Brown VA Medical Center, Chicago, IL. This position assists in providing administration of medical center maintenance and repairs program through the services work order system.
Duties
Duties Include:
2 years experience in Excel is preferred. It is not required.
Provides administrative and technical support that involves interactions within and outside of the organization.
Coordinates reports, interpreting and making recommendations for the Joint Commission surveys, Long Term Care Institute (LTCI) survey, and Annual Workplace Evaluation (AWE).
Plans and conducts program analysis by computing nd/or manipulating data utilizing software packages.
Acts as a liaison for Maintenance and Operations supervisors in collecting work order data and creating reports for the management team.
Analyzes, summarizes and identifies trends and issues concerning Maintenance and Operations.
Prepares the monthly Prevention Maintenance (PM) report for the management team.
Organizes information from files, documents in the office or other available sources for use by the staff in the development of reports.
Schedules meetings and ensures arrangements have been made including securing VANTS lines and VTEL reservations.
Updates Engineering policies and SOP's and Rescission Memos as needed.
Receives and screens visitors, telephone calls and personal inquiries and determines appropriate action.
Receives and reviews correspondence and determines proper action or routes to the appropriate staff for evaluation and action.
Receives telephone calls from medical center staff regarding emergent or non-emergent maintenance problems and determines priority based on technical experience; entering a work order for the problem; and dispatches appropriate technicians.
Acts as liaison between medical center staff and Engineering shops regarding work schedules, work in progress and work completed and performs duties associated with the work order program utilized by all shops in Engineering.
Generates and issues monthly, quarterly and annual preventive maintenance work orders.
Maintains building service equipment inventory.
Works with shop supervisors to reduce the backlog of incomplete repair work orders.
Tracks and provides follow-up to repairs that are part of corrective actions from reviews nd audits.
Create reports.
Serves as the primary timekeeper for the service.
Performs additional duties as assigned.

Qualifications
To qualify for this position, facility applicants must meet all requirements within 30 days of the closing date of this announcement, 10/23/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communication and interpersonal relations, including the ability to appropriately and courteously relate to internal and external customers; Maintenance of confidentiality of patient/employee information, electronic and print; Medical Center performance improvement program; work and function in the Medical Center in a safe manner, including infection control and the correct operation of equipment; knowledge and understanding of the regulations and procedures related to procurement, government purchase cards and accounting to include knowledge of solicitation and purchasing methods, purchases under established contracts and purchases in the competitive open market; knowledge and understanding of accounting principles and procedures to ensure accuracy of records maintained; knowledge of the terminology, format, content and use of various accounting documents is necessary to ensure proper separation of accounts and maintenance of statistical data; knowledge of automated data processing packages for the purpose of procurement and accounts maintenance.

Physical Requirements: Work is primarily sedentary with occasional walking, bending, standing and carrying of light items, such as reports and files.
