The incumbent serves as a Program Support Assistant in the Medical Administration Service (MAS) under the Asst. Chief, MAS and as such is responsible for the administrative support to the Asst. Chief, MAS, the MAS Administrative Officer (AO), the MAS Section Chiefs, Supervisory Medical Support Assistants (SMSAs), and Timekeepers.
Duties
Answers the telephone, refers visitors, or provides information about the service and its functions.
Arranges for large meetings or conferences including selecting mutually satisfactory times, reserving meeting rooms, notifying participants, preparing and distributing information packages and preparing reports or minutes from proceedings.
Initiates required paperwork for personnel actions
Prepares routine correspondence, edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares presentation outlines/agendas and replies to inquiries.
Handles a wide variety of situations and conflicts requiring use of personal initiative to determine the best approach to be taken or methods to use.
Maintains electronic and hard copy files for the service.
Processes all incoming and outgoing mail and distributes it accordingly.
Purchases administrative supplies for the service.
Reconciles all purchase card invoices.
Supplies the requested information for most inquiries ( e.g., status of reports, suspense dates, procedural requirements).
Work Schedule: 8:00AM-4:30PM; , subject to change based on the needs of the facility.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Reads outgoing correspondence for procedural and grammatical accuracy.
Makes all travel arrangements including request for travel orders, hotel reservations.
Coordinates dates, times, and meeting places, and travel vouchers.

Physical Requirements: The work is mainly sedentary. However, there will be walking, standing, bending, and carrying
and lifting of light items such as packages, office supplies and books, generally of not more than 25 pounds.
The work is primarily performed in an office, but errands to other areas and services are required most daily. The setting is stressful due to a large number of daily contacts with people who have various needs, as well as stress from the work volume, and constant meeting of deadlines.
The physical environment is an adequately furnished, well-lighted, well-ventilated, cooled, and healed office, with standard office furniture and equipment. Standard office safety and precautions are expected to be observed.
