The Program Support Assistant is located at the VA Illiana Health Care System VA Hospital and provides clerical and non-clinical assistance to Employee Occupational Health (EOH) Program.
Duties
The PSA provides administrative support to the EOH Program, which includes all new employees and existing employees at VA Illiana HCS.
Greets employees and applicants reporting to the Occupational Health clinic.
Prepares appropriate forms and validates data for personnel reporting for examinations and/or treatments.
Prepares necessary referral and report forms as needed.
Screens telephone calls and evaluates the nature of the call and relays messages to EOH staff.
Receives, reviews, and investigates incoming correspondence, reports, and files received by EOH.
Schedules the exams, labs, EKGs, X-Rays per the employees responses to the notification, then notifies employees of scheduled times.
Actively follows up on missed appointments and monitors pending medical clearance documents.
Performs chart audits for completeness and follows up if incomplete.
Coordinates and maintains record keeping, both written and electronic, while ensuring privacy of the employees and correspondence in the management of Occupational Health programming for the facility.
Develops, updates, and implements appropriate policies, procedures, and standards for Occupational Health Programs (SOP, MCP).

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/10/2024.
You may qualify based on your experience and/or education as described below:
GS-5 SPECIALIZED EXPERIENCE: Must have at least one year of specialized experience equivalent to the GS-4 grade level which provided the knowledge, skills, and abilities to successfully perform the duties of a Program Support Assistant. Specialized experience includes but is not limited to Clerical experience in a hospital, clinical or laboratory setting. Experience in reviewing and investigating incoming correspondence, reports, and files; scheduling appointments. Experience with computer software programs such as Microsoft Outlook, PowerPoint, Excel and Word to prepare presentations, briefings, reports and correspondence. Experience transcribing written material using word processing software.
OR
Education: Must have successfully completed 4 years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. (TRANSCRIPTS REQUIRED)
OR
Combination: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. (TRANSCRIPTS REQUIRED)

Physical Requirements: Most work is performed while in a sitting position. There is some walking to various areas of the Illiana facility. Some standing, bending, and stooping while filing, and performing other routine tasks.
