This position is located with the Prosthetic and Sensory Aids Service (PSAS) of the George E. Wahlen VAMC. The position processes orders for the prescription of prosthetics, sensory aids and durable medical equipment and/or services while performing customer services in addition to clerical and administrative duties to accomplish VA's mission to serve Veterans and their families.

Duties

Duties include but are not limited to: Inventory Management: Oversee and maintain accurate inventory levels of durable medical equipment (DME) with Supply Chain Inventory Manager, ensuring that all items are properly stocked and organized. Monitor and track stock usage, anticipate shortages, and communicate reorder needs to Inventory Manager. Utilize knowledge and understanding of stocked inventory items to ensure proper distribution. Prosthetics Inventory Systems: Extensive knowledge of and use of APAT (Advanced Prosthetics Acquisition Tool) to link issued prosthetic items to veteran record. Knowledge and familiarity of VISTA Prosthetics Packages: including utilizing General Inventory Package for prosthetic item distribution and linking to patient record and documentation, research patient records, verify previously issued items, review patient history, record tracking numbers on patient consult/record. Accurately interpret consult requests from various clinics and healthcare providers. Accurately track patients consults and document equipment issuance. Knowledge and familiarity of CPRS (Computerized Patient Record System) to research patient records, and review patient history. Administrative Duties Proficiency in Microsoft Teams and Outlook for internal communication and task acknowledgement. Run mailroom duties, including preparing address labels for mailing durable medical equipment (DME) to patients, delivering packaged items to mailroom for shipment. Other duties as assigned. Work Schedule: Monday - Friday 8:00 am to 4:30 pm Position Description Title/PD#: Prosthetic Clerk/PD14013A Physical Requirements: The work requires the ability to lift up to 40lbs regularly, including assisting with inventory movement and stock organization.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Specialized Experience GS-05: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Answers the telephone and takes complete messages. Returns all phone messages within a 24-hour period. Ascertains nature of requests and directs callers to appropriate staff, or personally provides the information desired when routine or procedural matters of the office are involved. Determines what information can be divulged and insure patient privacy. Responds to technical questions regarding patient's rights, responsibilities and medical eligibility for Prosthetic Services. May also respond to secure messaging, Joint Patient Safety Reports, and other patient specific inquiries. Receives, opens, reviews, and distributes all incoming mail. Determines if mail should be brought to the immediate attention of the supervisor and what should be given to other members of the staff. Determines proper distribution of priority mail and proper destination for mail erroneously sent to the office. Mails out equipment and correspondence. Delivers misdirected mail received in Prosthetics for other services. Performs a variety of miscellaneous duties in support of Prosthetics. Performs program related and routine support tasks. Records the receipt and issuance of equipment and supplies and stores them for use in Prosthetics. Completes and routes receiving reports for replacement inventory items and special-order items for individual patients. Independently performs support tasks. Files new or revised material such as catalogs, binders, websites etc. on Prosthetic items. Coordinates with vendors for delivery of items not available in inventory. Prepares VAF 2237 for turn-in of equipment. May assist with product recalls. Receives and processes requests for Prosthetic Services. Assists in determining the nature of the patient's Prosthetic needs, questions, or complaints and answers questions, provides information, gives guidance, and initiates action as appropriate. Assists in making benefit eligibility determinations. Assists in determining the Prosthetic benefits to which the patient has entitlement. Obtains all key information needed and initiates Prosthetic processing of basic requests and forms. Provides eligibility determinations and information to the medical staff. Enters/tracks information into the program related tracking systems OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four years above high school leading to a bachelor's degree with course of study from an accredited college, university or equivalent directly related to work of the position at which you are applying for. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school. Preferred Experience: Minimum of 3-6 months of experience working in a healthcare or prosthetics environment. Familiarity with durable medical equipment and healthcare procedures. You will be rated on the following Competencies for this position: Flexibility Clerical Client Orientation Customer Service Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work requires some physical exertion. There may be recurring lifting and moving of moderately heavy or bulky items such as wheelchairs or other durable medical equipment. Repetitive bending over and twisting will be required. Most work will be completed sitting in an office chair at a workstation.
