About the Position: This position is the Administrative Officer to the Branch Chief and Mid-level Management for the Albany Field Office. Main duties consist of timekeeping, employee on-boarding/out-boarding, travel arrangements, scheduling, government purchase card holder, financial functions and all other administrative requirements such as correspondence, data entry, filing, copying, shipping and other duties as assigned.

Duties

Makes recommendations to resolve discrepancies based upon the interpretation of applicable regulations. Provides assistance to project staff to resolve a variety of administrative problems requiring the application of various guidelines and coordination with the responsible staff at the office. Tracks receipt of supplies and services to ensure the Government receives goods and services on time. Uses computerized spreadsheets as a tool for monitoring planned financial and manpower resources for programs. Provides administrative functions including processing mail, answering phones, calendar management, onboarding/outboarding activities and maintenance of personnel records, timekeeping and payroll, and key inventory and access control. Liaise between the field office and District staff offices regarding personnel, IT, supplies and other administrative transactions. Reviews administrative management techniques and procedures to make recommendations to the Branch Chief on needed improvements.

  • This position has a Temporary Duty (TDY) or business travel requirement of 25% of the time.

Specialized Experience: One year of specialized experience which includes 1) Organizing office administrative functions in support of daily operations; AND 2) Assisting with the formulation, execution, or management of an office/program's budget; AND 3) Performing administrative support duties for an office such as purchasing supplies, records management, coordinating training/travel, or assisting with personnel actions. This definition of specialized experience is typical of work performed at the second lower grade/level position in the federal service (GS-07). OR Education: Master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as: Business Administration or Administrative Management. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond the first year (total graduate semester hours minus 18) by 18. Add the two percentages.
