This position is located in the Facilities Department within the Division of Administrative Services at Claremore Hospital. This department provides administrative, accounting, clerical, and inventory management tasks associated with maintaining and supporting the work performed within the organization in a hospital setting.

Duties

Serves as the principal bookkeeper. Maintains registers showing current budget records with postings and object classes as shown from requisitions, travel vouchers, parts, supplies, equipment purchases, supply requisitions, and contractual services. Ensures documents are completed for accuracy, punctuation, and completeness. Serves as travel coordinator. Prepares training vouchers and travel orders for departmental employees by making travel arrangements through the approved Federal Government travel system. Researches, initiates, and prepares requisitions for purchase orders for supplies, materials, equipment purchases, service and construction contracts, replacement parts and tools, and bench stock items. Obtains correct ordering information and documentation from staff, vendors, and online in regards to part number, price quotes, ordering address, delivery dates, market research, and justifications. Procures goods and services with a Federal government-Issued purchasing credit card with a monthly credit limit as designated. Maintains credit card requisitions with receipts in preparation for reconciling monthly credit card statements. For reconciliation purposes, matches receipts with transactions listed on credit card statements by verifying item costs on the receipts. Sets up and manages internal warehouse locations, spacing, minimum physical inventory levels, and reorder quantities for parts, materials, and supplies processing includes ordering, receiving, stocking, issuing, and distribution of supplies to staff that are not kept in inventory spaces. Performs the day-to-day administrative and management support activities for the assigned departments to assure workload is accomplished in a timely manner and that all administrative and management matters are completed and processed in accordance to established criteria.

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. MINIMUM QUALIFICATIONS: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: GS-07: Understands the accounting principles, fair credit practices and established collection procedures to perform all accounting technician functions in the accounts receivable area. Develops and implement processes, procedures, records, and forms to ensure the propriety of monetary collections or transactions. Analysis and reviews all transactions in accounts receivable; prepares worksheets showing the analysis performed; makes daily report; verifies mathematical accuracy; determines necessary transactions, enters data into a computerized system and onto required forms; compares transaction entered to those intended; corrects invalid or incorrect entries; determines causes of problems and takes corrective action for all discrepancies. Creates moderately complex information reporting tools such as charts, graphs, tables, etc. for the purpose of organizing and analyzing accounting data; proactive in resolving problems affecting deliverables by contacting vendors and others to resolve problems and to reconcile receipts, invoices, and payments; addresses questions and inquiries to resolve concerns and/or other urgent matters; operate computers programmed with accounting software to record, store, and analyze information. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement.
