This position is located in the Primary care Clinic (PCC), General Medicine Service (GMS) Line of VA Puget Sound Health Care System. The primary purpose of this position is to perform Administrative support and assistance duties, work as a team member of the GMS Service Line.
Duties
As the Administrative Support Assistant (ASA) you will conduct in-processing of all new hires, to include individual and group scheduling, completion of mandatory forms and on-line courses, on-site orientation, IT and CPRS access, issuance of PIV badges, etc. Ensures, in conjunction with facility-level services, that all employees complete appropriate security screening requirements, and that background checks are adjudicated before starting.
Major duties include, but are not limited to:
Coordinates support requirements (i.e., keys, equipment, etc)
Coordinates with Education Service to ensure that all employees are entered into the Training Management System (TMS) domain upon arrival and are deleted from the TMS domain upon clearing station.
Prepares miscellaneous reports for Puget Sound and responds to inquiries.
Performs work involving the collection, compilation and/or tracking of data and statistical information.
Assists in the planning, collection, reviewing and reporting of data/statistical results of program and clinical reviews.
Serves as the PIV (badging) Enrollment Portal Manager and Sponsor, entering each employee/trainee into the portal for PIV issuance, coordinates with IT to activate accounts on first day of rotation, coordinates with CAC to assign appropriate user class and to schedule/conduct computer orientation, as needed.
Serves as the Automated Data Process Applications Coordinator (ADPAC) coordinating and tracking information security of VISTA and LAN users for GMS. A heavy emphasis is placed on support of IFCAP and AEMS/MERS packages pertaining to General Medicine Service.
Serve as the initiating training specialist for multiple programs within GMS to include establishing all necessary training templates and organized training outlines for weekly sessions with each programs staff.
Trains users on moderately complex data processing procedures, such as use of user identification codes and mainframe access codes, or archive library access system procedures.
Submit human resources requests for the service. Duties include completing SF 52's, scheduling interviews, updating organizational charts, manpower lists, rosters, maintaining competency folders, maintain quality review folders on pharmacists, assisting credentialing and privileging staff with application for scopes of practice, assisting completing required application materials, and coordinating service level orientation for new employees/students/residents.
Promotion Potential: This position is at the full-performance level of GS-6.
Work Schedule: Monday-Friday; 7;00am-3:30pm

Qualifications
To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 10/07/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-5, in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: coordinating and monitoring the functions of administrative services within an office; serve as the Automated Data Process Applications Coordinator (ADPAC); coordinate workload tracking, record management, on-boarding of new staff, logistical and training support for service-line staff, preparing miscellaneous reports; and tracking of data and statistical information NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is typically sedentary, sitting comfortably to do the work. However, there may be some walking, standing, bending, and lifting of books, binders or equipment weighing less than 15 pounds. The work requires the use of a keyboard and mouse to access a computer to perform data entry, create spreadsheets/presentations and produce reports.
