This position is located at the Clement J. Zablocki Medical Center, Milwaukee, WI in the Surgical Care Division including clinics and is responsible for performing various administrative functions within the department.
Duties
Duties include but are not limited to the following:
Collect data, review, analyze, develop plan, monitor signed/unsigned clinical notes, to improve access and in support of completing outpatient encounters as required.
Works closely with administrative and clinical staff to ensure scheduling grids are updated for patient appointment slots.
Prepares various administrative reports.
Interprets VA regulations pertaining to the work of the office.
Perform work involving the collection, compilation, and/or tracking of data and statistical information, e.g. preparing/developing reports.
Provides assistant level support of management.
Assist with action plans relating to performance improvement initiatives and performance measures preparation as needed.
Establish protocols for incoming data, create internal databases, organize written and computerized data and/or retrieve data.
Uses a wide range of automated processing skills to include computer applications and word processing.
Works closely with hospital staff in other departments in support of facility goals.
Initiate responses for correspondence, forms and reports.
Conduct informal audits internally and respond to external audits as required.
Additional duties or tasks may be assigned by the supervisor to ensure efficient daily operations.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/04/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: At least one (1) full year of specialized experience in or related to the position. To be creditable, this specialized experience must have been equivalent to at least the GS-06 grade level in Federal service. For this position, specialized experience consists of: Performs general administrative support such as research and data collection, tracking and analysis to determine potential problem areas and makes recommendations for improvement. Using various Microsoft Office programs, database programs and office equipment. Providing administrative support to a team, produce a wide variety of statistical data, prepares spreadsheets, databases, word documents using appropriate software, and submit reports to appropriate parties. Review correspondence and/or reports for accuracy, proper formatting, grammar, spelling, and punctuation. Assisting in departmental problem solving and planning alternative solutions. Utilize excellent Verbal and written communication skills.

Physical Requirements: The work is primarily sedentary, but requires some walking, standing, bending, climbing and carrying light items such as papers and files. Long periods of sitting and using a computer screen and keyboard.
