The incumbent serves as an Administrative Support Assistant (ASA) for the Behavioral Health Service (BH) and reports to the Administrative Officer (A/O) for BH. The Boise BH Service includes clinical and administrative staff and provides services for Psychiatry, Social Work, Psychology, and a wide variety of Clinical Programs and numerous Service level functions.

Duties

Duties include but are not limited to: Duties and assignments include administrative program management and support for BH Service leadership, Supervisors, Program Managers, and Service staff. he PSA's are responsible to administratively coordinate and manage a variety of Clinical Programs and is the administrative resource and point of contact for all administrative issues and needs relevant to the programs they maintain. Programs include support and administrative management of; Residential Substance Abuse (SARRTP), Out Patient Substance Abuse (OSAT), MH Intensive Case Management (MHICM), Homeless program (HCHV, HUD-VASH, HCHV, GDP), Veterans Justice Outreach (VJO), Suicide Prevention, Tele-MH, Military Sexual Trauma (MST), Compensated Work Therapy (CWT), Post Traumatic Stress (PCT), Vocational Rehabilitation, Integrated Care, and all General and specialty MH programs, Psychology, Psychiatry, Nursing, and Social Work needs. Access and manage a broad spectrum of situation and problems as they arise daily as well as develop, prepare, and maintain recurring statistical reports and performing data analysis. Will possess comprehensive knowledge relevant to all BH programs and the administrative functioning of those programs to include: service polices directives, and SOP's. must be able to provide administrative cross coverage for all BH programs and work in concert with each other to complete the mission and program goals for the BH Services, in a timely and professional manor, and in accordance with the Uniform Mental Health Service Package (UMHSP). Provide administrative management and will be the primary point of contact (POC) for various BH functions/activities and computer programs to include: Talent Management System (TMS), Share Point program POC, Primary Care Management Module {PCMM) program, payroll backup for lead Administrative Support Assistant, specialty service budget control/management, and service fleet vehicle management. Ensure clinician training and accreditation files and requirements are up to date and current. Serves as team members on various BH Service teams, committees and oversight entities which include: Disruptive Behavior, Performance Improvement, System Redesign, BH Treatment Team, CARF committee, Core Leadership, SARRTP Advisory Board, and Suicide Prevention team. Incumbent will be an active team member providing analytical and evaluative program support to include: data extraction that is extensive and meticulous in that the data is lengthy and contains various data points e.g age, race, gender, period of service, etc. develop and maintain a system of records for each area of responsibility that will provide documentation to meet the requirements of not only the Medical Center but also a number of accrediting and inspecting agencies such as JAHCO, OIG, SOARS, CARF, VISN, and VACO. Develop, modify and maintain databases that will organize information obtained from a variety of sources and systems of record for each area of responsibility and utilize these databases to analyze program information, perform evaluation of data, and create reports and tracking mechanisms developed by self for both presentation to leadership and to sustain and improve program functioning. Coordinates a variety of program-wide routine and special needs projects, reports, surveys, and administrative activities for the BH Service. analyze, interprets, synthesizes data, identifies trends/patterns, suggest resolutions/alternate resolution to leadership, and options for action plans. Work Schedule: Monday - Friday; 8:00 a.m. - 4:30 p.m. Telework: This is not a telework position Remote: This is not remote position. Position Description Title/PD#: Administrative Support Assistant/PD60203A Physical Requirements: No special physical qualifications are required to perform the work. The work requires the ability to move around the office and carry light items such as office files. The work requires ability to walk to certain areas of the main hospital. Also requires long periods of intense concentration with frequent interruptions.

To qualify for this position, applicants must meet all specialized experience requirements within 30 days of the closing date of this announcement, 09/20/2024. You may qualify based on your experience as described below: Specialized Experience: You must have one (1) year of specialized experience equivalent to at least the next lower grade, GS-04, in the normal line of progression for the occupation in the organization in the federal service, or equivalent experience in the private or public sector, that has equipped you the particular knowledge, skills, and abilities required to successfully perform the duties of this Administrative Support Assistant position. Examples of specialized experience would typically include, but are not limited to: Skill in the use of core computer programs and office equipment and their functions; Word, Excel, Power Point, fax, and copy machines; Answers phone calls, screens calls, takes messages, transfers calls, locates staff for emergency messages; prepare and organize detailed and wide-ranging data for reports and present findings in an organized, understandable, and professional manor; Screens all outgoing correspondence for neatness, clarity, correct grammatical content, and adherence to established format and procedures; Enters patient data into computers for analysis, retrieves patient data, and assists in maintaining methods of relocating patients after discharge; Schedules meetings for Service staff; Prepares agendas and minutes for distribution, including attachment, and action item follow-up as needed. NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week. Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four (4) years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. NOTE: Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have equivalent combinations of successfully completed post-high school education (beyond the second year) and specialized experience to meet total qualification requirements at the GS-05 level. This education must have been obtained at an accredited business, secretarial or technical school, junior college, college or university. NOTE: Transcripts required. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05. For example, an applicant who has 9 semester hours of graduate level education (i.e. 50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position A transcript must be submitted with your application if you are basing all or part of your qualifications on education. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
