About the Position: Serves as the principal office assistant performing various administrative and clerical duties in support of the organization.
Civilian employees are essential in supporting the mission of the Defense Health Agency (DHA). They contribute skills that are indispensable for military operations and not commonly found within the military itself. The Defense Health Agency combines the abilities of both its military and civilian personnel to create a unified Force.
Duties
Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents and reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts.
Proofreads/edits correspondence and documents for correct grammar, spelling, capitalization, punctuation, and format.
Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives.
Receives telephone calls, greets visitors, and ascertains the nature of the calls or visits.
Maintains supervisor's calendars, coordinates meeting arrangements, and schedules meetings and/or conferences.
Serves as liaison between supervisor and subordinate units.
Makes travel arrangements, such as scheduling transportation, making reservations, and preparing travel orders and vouchers.
Prepares, consolidates, submits, and maintains time and attendance records in accordance with established procedures.
Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats.
Transmits and receives documents and messages electronically using personal computers or workstations that are networked or linked toother computers or workstations.
Requirements
- Immunization screening is required. Hepatitis B immunization is required for all positions with direct patient contact. Applicants may be required to show proof of other immunizations depending on the type of position.
- This position has mandatory seasonal Influenza vaccination requirements and is subject to annual seasonal Influenza vaccinations unless otherwise exempted for medical or religious reasons (documentation of exemption must be provided upon hire).
- This position requires the incumbent to have Tuberculosis testing.
- This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.

Specialized Experience: One year of specialized experience performing most of the following which includes: performing office automation support using multiple automated programs and software such as databases, spreadsheets, and graphics to track and prepare reports; prepares a variety of recurring and nonrecurring correspondence; maintains supervisor's calendar, to coordinate and schedule meetings and appointments; and proficient with Microsoft Office, Excel, Word, PowerPoint, Access, etc. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05)

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05).
