This position is assigned to the Caregiver Support Program and serves as the Program Support Assistant to the CSP. The primary duties of the Program Support Assistant are program development, assist with data collection, analysis of trends, and implementation of best practices. The employee provides staff support including office operations, information management, coordinates and integrates information necessary to the effective and efficient operation of the program which includes the PCAFC.
Duties
Performs telephone triage and brief assessment- assists Veterans, families, medical center staff and community agency personnel who are seeking Caregiver Support services. This may include identifying and contacting available clinicians in response to urgent needs of Veterans, families and caregivers.
Prepares files and charts in a timely manner, ensuring that all relevant correspondences and clinical material pertinent to CSP are in place.
Scans and uploads documents into CARMA, and files documents.
Creates and maintains respective Program Manuals to assist Caregiver Support Coordinators staff in the implementation of VACO directives, policies and procedures and accompanying databases.
Receives/screens and manages all incoming and outgoing documents, publications, directives and correspondence, determining appropriate action and/or response with minimal direction.
Prepares materials for trainings, presentations, and "National Family Caregiver Month" information tables, and Caregiver Support Advisory Council meetings. Also schedules conferences and meetings, including arranging logistics, preparing agendas, and notifying participants.
Track and report monthly and annual CSP funding for assigned program fund control points. with the assigned caregiver support coordinator. Prepare yearly funding requests. Coordinate TDA requests with the National CSP Program Analyst and the assigned CSP staff.
Ensure local program is compliant with funding updates/changes. The position requires demonstrated experience and mastery of office automation systems and word processing the Microsoft Office suite of products (Excel, Power Point, Access, Word, SharePoint etc.). The position requires high levels of attention to detail to perform data entry functions with accuracy. Expertise with VA Vista system and CPRS.
A qualified typist is required
Incumbent performs a full range of secretarial and administrative duties and responsibilities in support of the CSP, consisting of typing and word processing, filing, referring phone calls and visitors, etc., and program work of a more varied and substantive nature (e.g., preparing special reports based on gathering and interpreting information from the staff and the files, performing office automation duties which require a variety of software and differing methods and approaches, and setting up meetings and conferences).
Incumbent independently decides what needs to be done and how to accomplish it by analyzing the issues involved in the situation and the needs, priorities, goals and commitments of the supervisor and staff.
Performs other related duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/13/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Typing Proficiency: You must be able to type at least 40 words per minute. In addition to the Typing Proficiency, you must posses Specialized Experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Serve as primary contact for various administrative functions (e.g., human resources, budget and finance, program analysis, records and document control, timekeeping, etc.); Receive incoming calls and route to appropriate party; Coordinate and manage reoccurring meeting, including taking minutes and transcribing; Submission of purchase requests for supplies, equipment, etc.; Proficient in various automated applications (ADPAC, Microsoft applications, VistA, CPRS, ADP security, etc.) to produce reports, pamphlets, etc.; and Apply specialized processes, methods, policies, and procedures related to an office that provides a specific service to be performed as non-routine and/or routine as assigned.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work is primarily sedentary. Work will involve some walking (between different offices, and to/from different areas of the Service), standing, bending, and lifting of light objects (such as books, files, papers, etc.), as well as a good deal of work on a computer keyboard.
