The incumbent works directly for the Chief of Medicine at the VA Boston Healthcare System and will be located primarily at the West Roxbury Campus, but travel to Brockton and Jamaica Plain Campuses may be required. This position is full time, 40 hours per week.

Duties

The incumbent works directly for the Chief of Medicine at the VA Boston Healthcare System and will be located primarily in an office setting at the West Roxbury Campus of the VA Boston Healthcare System. Medical Service is a level 1A, tertiary care healthcare system and primary referral source for most facilities within VISN 1, VA BHS has an extremely robust and complex outpatient clinical operations infrastructure. The outpatient clinical operations stretch across three main campuses, five outpatient clinics and now include all specialty care oversight at the Bedford VA Medical Center. Medicine is a massive service line comprising 13 medical specialties, all related clinical sub-specialties, and affiliations with 4 academic medical institutions including Boston University, Harvard Medical School, UMass and Tufts. The medical specialties under the Department of Medicine include: Cardiology, Pulmonary, Hematology, Oncology, Rheumatology, Endocrinology, Infectious Diseases and Infectious Disease Prevention, Gastroenterology and Endoscopy, Nephrology, Palliative Care and Geriatric Medicine, General Internal Medicine, and 5 inpatient medical wards including a Medical Intensive Care Unit (MICU) and Cardiac Intensive Care Unit (CCU). With volumes exceeding 170,000 patient encounters annually, nearly 72,000 of which are unique, more than 6,500 inpatient admissions accounting for nearly 31,000 bed days of care BDOC) annually, the VA BHS Department of Medicine accounts for more than a quarter of Medical center revenues and employs more than 400 employees spread across one of the largest and most complex interdisciplinary care systems in New England. Duties include but are not limited to: Incumbent serves as the direct Secretary and administrative liaison for the Chief of Medicine. Provides administrative and clerical support for the Chief and provides a direct communications link with the Chief, Associate Chief and Administrative Office of Medicine, and the 13 Medical Specialties. Provides administrative support which requires extensive direct contacts and coordination with the VA National Medical Office, VISN 1 Medical Service Line Office, VA BHS Director's Office, VA BHS Chief of Staff's Office, Executives and Professors from affiliated medical schools and medical centers, clinical section chiefs, direct reporting staff and clinic supervisors. Incumbent coordinates requirements and provides guidance to supporting administrative staff. Work requires formal internal procedures, administrative controls, and coordination to direct actions. Incumbent provides administrative support to relieve the Chief of Medicine of all administrative work to allow time to function in the official capacity of Chief. Maintains calendars and schedules briefings and actions. Incumbent serves as an advisor and provides general guidance and recommendations to the Staff and Divisions to expedite quick responses to meet daily demands and requirements of the Administrative Officer of Medicine. Coordinates the daily operations of the Medical Service Admin Office. Identifies, evaluates, and makes recommendations to the Chief or Administrative Officer as appropriate regarding technical problems/issues pertaining to personnel, equipment, budget, and space. Coordinates academic year schedule of hospital conferences and meetings, including Medical Grand rounds, Morbidity and Mortality Conferences, Medical Staff Office meetings, head nurse meetings with both IP and OP staff, visiting Professors for Medical Grand Rounds presentations to include their travel and accommodations requirements. Work Schedule: Monday - Friday 7:30am - 4pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/13/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. You will be rated on the following Competencies for this position: ClericalCommunicationsPlanning and EvaluatingProblem Solving Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Preferred experience: One Year Medical Secretary Experience. Physical Requirements: The nature, frequency and intensity of physical activity are sedentary. Work is performed in an office setting. Most activity is through personal and telephonic communications; however, some walking, bending and reaching is required with infrequent lifting of twenty pounds or less.
