The purpose of this position is to perform receptionist, updating patient information on record keeping, key-entering, budget tracking, travel and training orders, equipment & supply ordering, retrieving patient data associated with patient care and treatment, assist in coordination of specialty clinics, and provide miscellaneous support to the professional staff of the department.
Duties
Receives all patients/visitors and telephone calls to the department. Determines the appropriate department or person to handle a specific request or problem and directs person^ inquires, phone calls, and correspondence accordingly or initiates responsible behavior at his/her own discretion.
Process patients in to the department or clinic via automated system and paper system, inserting the correct forms (evaluation, charge ticket, and medical screening form) for specific services/clinics, and dated and stamped with correct patient identification as appropriate.
Retrieves scheduled medical charts from Medical Records, assemble and identifies patient charts if medical chart(s) are missing will contact Medical Records to retrieve the chart(s). Reviews all charts for completeness of necessary referrals.
Receives and reviews all incoming mail; assigns priority to each item; and distribute mail to individuals in department. Maintain all files for the department, including minutes, policy and procedure manuals, and correspondence, supply and specialty clinics. Keep formal minutes of all department meetings.
Insure proper stock levels for forms and office supplies. Types correspondence, schedules, etc fi"om a handwritten official or draft
version. Responsible for proper spelling, grammar formats arrangement of material. Maintain communication with staff and other departments verbally, written, and/or by e-mail. Compile and obtain data when requested by Chief or therapists.
Prepares all training requests, travel requests and vouchers. Maintains travel file on each staff member. Required to effectively use the latest up-to-date automated systems for scheduling, travel and training, ordering of supplies, coping, faxing, and computer processing programs, which will include Microsoft Word, Excel, PowerPoint, and e-mail features. Attend Department staff meetings, in-services, and continuing education programs as appropriate. Review of orders to contract health and other third party providers
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-05: applicants must have successfully completed 4 years above high school leading to a Bachelor degree in any field. -OR- Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Performing clerical support in a clinic setting, reception duties, record- keeping, scheduling appointments, key- entering and retrieving patient data. Knowledge of medical, technical and special terminology. Coordinating with patient registration, alternate resources, contract health and patient related data management systems. Use of different automated systems (i.e. electronic health records, computers, fax, copiers and word processing systems).
Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-05.
GS-05 only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester ours) beyond the second year is equivalent to 6 months
Successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite is creditable for GS-05. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter boxes, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
