The Program Support Assistant (PSA) is an essential member of the Audiology & Speech Pathology Department at the El Paso VA Health Care System providing administrative and clerical support to all staff. The incumbent serves as liaison between the main VA Audiology & Speech Pathology department, other clinics, and Community Based Outpatient Clinics (CBOCs), Ambrosio Guillen Texas State Home and William Beaumont Army Medical Center.
Duties
Major Duties:
Provides administrative and clerical support to department staff
Serves as liaison between the VA and organizations
Support Chief of Service, supervisors, and staff in monitoring daily workflow
Assists in research, development, troubleshooting and management of program staff clinic profiles and clinic utilization
Assures no problems arise in the coordination of clinic cancellations, reschedules or overbooking of patients
Demonstrates proficiency in writing, editing, and the use of a variety of formats for correspondence and production
Assists in the coordination of calendars for all providers within department
Assists with the coordination of scheduling vendor and other training for staff
Provides a complete range of program support which includes directing customer service and coordination with other medical teams for clinical services
Assists in maintaining available resources and makes recommendations regarding needs and distribution of resources
Provides the customer with consistent information according to established policies and procedures and handles conflict and problems in dealing with the customer constructively and appropriately.
Work Schedule: Monday - Friday, 8:00am-4:45pm

Physical Requirements: Work is sedentary. Most duties are accomplished sitting comfortably while other duties require walking, standing, bending, and carrying light items (under 15 pounds), such as papers and books. Use of computer requires sitting comfortably in front of computer screen and using a keyboard for an extended period of time.

Qualifications

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: advanced knowledge of and experience with computers, oral and written skills, and the ability to work with others, particularly the veteran population and other supporting services. Advanced knowledge of basic data software, such as; Excel, Access, and/or background to master new software packages, is critical. Excellent telephone and personal interactions skills are needed to ensure tact and diplomacy in dealing with veterans, families, agency officials, staff/administrative personnel in clinical departments, representatives from private or community corporations, and other veteran service departments. Maintains patient confidentiality and displays well developed sense of ethics and must be able to manage multiple deadlines and tasks with several projects in progress across time and must be able to prioritize according to urgency, time demands, and needs.
There is no educational substitution for the GS-06 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
