The Program Support Assistant is located at the Decatur Community Based Outpatient Clinic (CBOC), Decatur, IL, and provides office operations, administrative support to CBOC Medical Directors, clinical staff, consultants, and students.

Duties

Duties include but not limited to: Assists in planning, organizing, coordinating, implementing, directing, integrating, and evaluating clinical elements in Ambulatory Care. Reports status/progress to senior managers of the VAIHCS through the immediate supervisor. Responsible for accuracy of the authorization documents which affect pay and timecard record keeping. Tracks expenses and ensures timelines of submission of reports. Assist with maintaining provider leave/coverage schedules and requests clinic cancellations as necessary. Maintains assistant Chief and Medical Directors calendar, prioritizes appointments and meetings. Assists with planning and coordinating day to day activities. Responsible for providing program support to Employee Health. Assists in the preparation of documents for recruitment, selection, orientation, training, and evaluation of clinical and clerical staff, as well as organizing and coordinating interviews of new staff. Participates in the planning, reviewing, and revising policies, procedures, medical center memorandum, and standard operating procedures (SOP) pertinent to the clinical operations of the service. Manages and assists in preparing responses to correspondence as a liaison or handles the communication with persons and/or groups within and outside the organization, such as congressional inquiries, reports to COS, routing in proper format and through appropriate channels within time constraints. Interacts with a wide variety of staff, patients, customers demonstrating sensitivity to and an understanding of their needs by taking ownership of the problem and adopting the customer's needs as their own. Assist with PATS, as a service level advocate. Work Schedule: Monday-Friday, 7:45am-4:15pm Telework: Not Available Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/28/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: GS-06 SPECIALIZED EXPERIENCE: At least one (1) full year of specialized experience in or related to the position. To be creditable, this specialized experience must have been equivalent to at least the GS-05 grade level in Federal service. Specialized experience includes but is not limited to: Experience with computer software programs such as Microsoft Outlook, PowerPoint, Excel and Word to prepare presentations, briefings, reports and correspondence; ability to appropriately and courteously relate to customers; Knowledge of clinical practices and medical terminology to communicate effectively with staff management, and to understand objectives, organization, and procedures of various clinical services; Knowledge of budgeting concepts/procedures; ability to identify problems, recognize trends, analyze and make recommendations concerning the efficiency and productivity of administrative operations. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as files, papers, books, and small parts, etc. No special physical demands are required to perform the work.
