This position is located in Pharmacy Service, responsible for all administrative actions in regards to all Pharmacy Technicians positions within Pharmacy Service. The incumbent performs administrative activities for all 4 sites within the Salisbury VA HCS including but not limited to: all Pharmacy Service employees, 6 pharmacy residents, and approximately 30 pharmacy student clinical experitial rotations under the direction of the Chief, Pharmacy Service.

Duties

Duties include, but are not limited to: Responsible for all transactions necessary to fill and onboard position; including but not limited to: submitting Resource Management Committee (RMC) requests for new/vice fill positions, Manager Self Service Actions (MSS) requests for new position requests or update/fill requests, US Staffing announcement review/approval, etc. Process ticket(s) and requests submitted to establish computer access requests, Personal Identity Vehicle (PIV) card sponsorship entry into USAccess program and appointment scheduling for badge, and incoming employee listed on New Employee Orientation schedule. Process all timekeeping actions for each pay period to include verifying all leave requests, premium pay requests entered/reviewed/approved and timecards processed. Responsible for the monitoring the Pharmacy Professionals Training Program sharepoint site to track how many students each month and who will be precepting them. Initiates computer access through YourIT portal; initiating creating of email address, submit request for VISTA and CPRS access, menus, and keys. Utilizes a wide range of administrative skills and personal qualities of a high order to address the needs of the Pharmacy Health Professionals Training students. Coordinate all contract documentation within the department at the direction of the Administrative Officer, including maintaining COR files on each contract held by Pharmacy Service. Uploads and maintain short-term and long-term contracts documentation in eCOR and CPARS systems. Prepares, compiles, and evaluate special reports using Scriptpro, VISTA, service line Sharepoint, etc. These include but are not limited to the following; Equipment/Supply Reports, outsourced service agreements, or timelines related to various Pharmacy projects and provide the results to Pharmacy management. Maintains and monitors Pharmacy Continuous Process Improvement electronic board. Investigates, gathers, tracks, analyzes, updates information, and reports results of adverse patient satisfaction survey results on VSignals reporting dashboard to Pharmacy Management. Tracks performance measures, goals, and objectives. Collects, compiles and tracks data from monthly Pharmacy workload statistics (average number of patients seen, and prescriptions filled) to show trending data to support additional staffing needs. Works closely with the Pharmacy Supervisors, Pharmacy Service Administrative Officer (AO), Pharmacy Assistant Chief, and Pharmacy Associate Chief. Interaction with a variety of people within and outside the VA including Pharmacy Management and staff, volunteers, visitors, contract vendors, medical drug representatives, Veterans, AFGE, local; State and national service organization representatives, colleges and universities, schools, civic groups, businesses, vendors, on a regular basis in moderately unstructured settings. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/27/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience with managing a fast-paced office to include, establishing priorities, set up, reschedule appointments; Use own initiative to follow-up on action items and time-sensitive issues, providing assistance to patients, administrative staff and professional staff, communicating with patients about their experiences of care, sorting and processing incoming correspondence, reviewing issues , compiling patient experience data and telephone inquiries, coordinating incoming data from a variety of sources and, maintaining databases which contain a wide variety of veteran specific information, maintaining office files and records, submitting Resources management Committee (RMC) request, USAStaffing, USAccess, timekeeping, and CPRS, VISTA; knowledge of Contracting office Representative (COR) applicable regulation and policies. Administration and ManagementCommunicationContracting/ProcurementOrganizational Performance AnalysisPersonnel and Human Resources Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work is typically performed in an adequately lighted and climate-controlled office. May require occasional travel. The employee is expected to adhere to safe work habits while operating office equipment.
