The incumbent provides key professional level administrative services and support to the Nashville Area Office. Departments within the Office of Public Health, Chief Medical Officer or other offices supporting the following areas: Timekeeping, preparing reports, travel, procurement, policies, training, technical writing and editing, coordination of administrative support services to field staff. Position located at the Division of Sanitation Facilities Construction, Manlius Field Office.

Duties

Provides administrative support to the Nashville Area Office. Departments within the Office of Public Health, Chief Medical Officer or other offices supporting the following areas: Timekeeping, preparing reports, travel, procurement, policies, training, technical writing and editing, coordination of administrative support services to field staff to ensure resources meet program needs, including; office space, equipment and supplies, coordinates relocation of personnel, phones, personal computers and software, meeting and workshop arrangements. Serve as Coordinator of work assignments such as: Area Awards, Policies, Delegations, and Public Affairs. Provides internal and external customers with information on work processes and practices, methods and procedures, instruction and information on assignments, tracking and identifying administrative issues/subjects, follows up and tracks resolution of assignment(s) and expedites appropriate approvals or signatures as appropriate. Serves as travel coordinator, makes complete and timely travel arrangements, by reviewing flight schedules, setting up final itinerary, obtaining airline and hotel reservations, preparing travel vouchers, auditing travel, assure compliance with applicable funds availability and travel laws, rules, relations, and procedures. Serves as a confidential employee, safeguards and maintains confidential material, establishes personal files of correspondence and documents concerning pending investigations, preparing personnel action, and completing updated position descriptions.

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. BASIC REQUIREMENT(S): OPM Link: https://www.opm.gov/policy-data-oversight/classification-qualifications/general-schedule-qualification-standards/0300/miscellaneous-administration-and-program-series-0301/ In addition, to the Basic Requirements, you must also meet the Minimum Qualifications stated below- MINIMUM QUALIFICATIONS: GS-05:Completed 3 years of progressively responsible general experience, 1 year of which was equivalent to at least GS-4 grade level, in the Federal service, that demonstrated my ability to 1. Analyze problems to identify significant factors, gather pertinent data, and N/AIHS Revision Summer 2017 recognize solutions; 2. Plan and organize work; and 3. Communicate effectively orally and in writing. OR completed a 4-year course of study leading to a bachelor's degree, in any field. OR combination of education and experience that when combined fully meet the minimum qualifications for this position. GS-07: I have 1 year of specialized experience that equipped me with the particular knowledge, skills and abilities to successfully perform the duties of this position. This experience is related to the work of the position and equivalent to at least the GS-05 level in the Federal service as described in the vacancy announcement. Examples include: Experience preparing for and making arrangements for meetings, to include; providing technical support, preparing power points, preparing agenda, call in logistics, travel accommodations, video conferences, reserving appropriate meeting location, promoting and preparing meeting notifications etc. Experience providing policy guidance to staff and external customers. OR at least 1 full year (18 semester hours) of graduate level education that demonstrates the knowledge, skills, and abilities necessary to do the work of the position. OR completed a Bachelor's degree in a field that demonstrates the knowledge, skills, and abilities necessary to do the work of the position with one of the following: (1) I graduated with at least an overall GPA of 2.95, (2) I graduated with at least a 3.45 GPA in my major or during the last two years of college; (3) I graduated in the top third of my class; or (4) I have been a member of a national scholastic honor society recognized by the Association of College Honor Societies. OR combination of education and experience that when combined fully meet the minimum qualifications for this position. The total percentage equals at least 100 percent to qualify for this GS-05 grade level. GS-09: 1 year of specialized experience that equipped me with the particular knowledge, skills and abilities to successfully perform the duties of this position. This experience is related to the work of the position and equivalent to at least the GS-07 level in the Federal service as described in the vacancy announcement. Examples include: Experience providing clerical, technical and administrative assistance to a higher echelon department. Experience preparing travel arrangements and travel vouchers; timekeeping, preparing reports, ordering supplies and equipment, technical writing and editing or documents, coordination of administrative support services to field staff and external customers. OR completed a master's or equivalent graduate degree or 2 full years (36 semester hours) of progressively higher level graduate education leading to such a degree, such education must demonstrate the knowledge, skills, and abilities necessary to do the work or LL.B. or J.D., if related. OR combination of education and experience that when combined fully meet the minimum qualifications for this position. The total percentage equals at least 100 percent to qualify for this GS-07 grade level. You must meet all qualification requirements within 30 days of the closing date of the announcement.
