This position serves as the principal clerical and administrative support position in the Office of the Director, by carrying out and coordinating all the clerical and day-to day administrative support activities which are typically required to accomplish the work of the Chief of Staff.
Duties
Major duties include:
Provides clerical and administrative assistance to the Chief of Staff.
Receives all visitors and telephone calls to superiors.
Determines nature of call or business of visitors.
Controls activities schedule and reminds Chief of Staff and other Quad members of appointments.
In the absence of the Chief of Staff assumes responsibility for insuring that the administrative flow is continued in a timely manner, determining which items can be referred to other members of the management staff.
Provides cross--coverage in the absence of the other executive secretaries in the work group.
Reviews correspondence and documents prepared for signature of or requiring coordination by managers for conformance with regulations, grammar, format, and special policies of the installation.
Obtains information required by management from various sources within the VA, requiring a comprehensive knowledge of the VA's complex organizational structure.
Collects such information, presenting in its original form or editing and revising as necessary.
Composes correspondence on own initiative, based on a knowledge of the views and desires of the Chief of Staff and other Quad members.
Composes letters, endorsements, messages, office instructions, and reports, with responsibility for sentence structure, grammar, and spelling. Takes notes and develops correspondence from dictation by the Chief of Staff.
In the performance of official duties, the employee has regular access to printed and electronic files containing sensitive information, which must be protected under the provisions of the Privacy Act of 1974, and other applicable law and regulations.
Work Schedule: Monday-Friday, 8:00 am to 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support to an office; utilizing computer applications, such as Microsoft Word, Excel, PowerPoint, SharePoint, Outlook, and other software; preparing and proofing correspondence and documents; managing meeting minutes; managing tasks to meet timelines. (This experience must be well documented in your resume or application package.).

Physical Demands: The work is sedentary. Typically, the employee may sit comfortably to do the work.
