The Office Automation Assistant is responsible for transcribing reports from voice recordings, hand written documentation, and entering complete and accurate electronic documentation of Surgical Pathology, Cytology, and Autopsy case examination reports. The employee will be responsible for fulfilling slide requests from outside facilities, maintaining tracking records for these shipments, and filing tissue blocks and microscopic slides.
Duties
Duties:
Transcribes medical dictation to provide a permanent record of Surgical Pathology, Cytopathology, Autopsy protocol and examination.
Transcribes supplementary reports for specimens received from reference laboratories that required further testing not available at the VHSO laboratory.
Operates networked Pathology program database/dictation and transcription equipment as directed to complete assignments.
Uses designated equipment effectively, skillfully, and efficiently. Maintains equipment and work area as directed.
Files slides, blocks and reports, process requests for slides/blocks/reports to be sent out or used in tumor board or peer review.
Organizes and prioritizes assigned work, and schedules time to accommodate work demands, turnaround-time requirements and commitments.
Provides administrative/clerical/technical support as needed and as assigned.
VA Time and Attendance System timekeeper duties.
Applies knowledge of medical terminology, anatomy and physiology, and English language rules to the transcription and proofreading of medical dictation.
Notify staff pathologist of actual or potential errors in final reports. Clarify any unclear or incomplete reports.
Works and communicates in a positive and cooperative manner with management and supervisory staff, medical staff, co-workers and other healthcare personnel.
Work Schedule: Monday - Friday, 8:00 am to 4:30 pm; subject to change based on the needs of the agency

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Listening to and interpreting audio dictations for transcription of documentation, utilizing knowledge of medical terminology; using office automation equipment such as a computer, telephone, dictation, and transcription equipment, etc.; and performing data entry. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years of education above the high school level. (TRANSCRIPT REQUIRED).OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education to qualify. Equivalent combinations of successfully completed post-high school education and experience may be used to meet the total experience requirements. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience (TRANSCRIPT REQUIRED).
Proficiency Requirement: In addition to meeting specialized experience and education requirements, applicants for this position must meet proficiency requirements. Applicants must have the ability to type a minimum of 40 words per minute.

Physical Requirements: The nature of the work involves considerable and continuing pressure on the individual because of
constantly changing priorities and the need to make frequent decisions to meet new urgencies. The incumbent must be physically fit, mentally alert, and emotionally stable. There are periods of prolonged standing and sedentary office work. The incumbent must be able to concentrate on incoming dictated material and written material while working in a shared office setting.
