The Primary Purpose of the Position is: To use multiple office automation software with varied functions to produce a wide range of documents; and, to provide miscellaneous clerical support.
The Organizational Location of the Position is: Deputy Associate Director Patient Care Services, Associate Director for Patient Care Services in the Nursing Education Department at the VA North Texas Health Care System (VANTHCS).
Duties
The Major Duties of the Office Automation Assistant (OAA) are not limited to:
Prepares a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources.
Uses a variety of automated systems (i.e, records management, electronic forms, electronic publications library, time and attendance, etc.) and non-automated to perform various clerical duties.
Uses methods for automating, developing, implementing, or administering database systems with groups and staff for Nursing Research.
Maintains Supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office.
Establishes files, maintains, purges, and disposes of office records/files in accordance with regulations and procedures.
Continuous correspondence with supervisor and ensure proper clerical support of Patient Care Services.
Reviews and processes incoming and outgoing correspondence, reports and other materials submitted from the Chief Nurse.
Receives telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help.
Schedules meetings and makes necessary arrangements such as location, time, contacts participants, and ensure all required materials are available.
Work Schedule: Monday - Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/07/2024.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Knowledge of various office automation software processing procedures and function keys.
Knowledge of standard office equipment, such as office copiers and fax machines and automation systems to perform a substantial range of of office support.
Knowledge of grammar, spelling, capitalization, punctuation, and commonly used specialized terminology to prepare material correctly.
Knowledge of body of rules, procedures, or operations applicable to clerical assignments, such as preparing various routine correspondence/reports, maintaining files/records, and reviewing and processing mail.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have To qualify based on education for this grade level you must possess 4 years above high school-Bachelors Degree. (TRANSCRIPT REQUIRED).
OR,
Combination: Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.(TRANSCRIPT REQUIRED).

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. May require some walking, standing, bending, climbing stairs, and carrying and/or lifting of light items such as papers and books. No special physical demands are required to perform the work.
