This position is located with the Administrative Service Branch with the Tohatchi Health Center in Tohatchi, NM. . The position serves as secretary and administrative assistant to the Health Systems Administrator as well as providing clerical services for the clinical and administrative support staff of Tohatchi Health Center.
Duties
The secretary acts with independence in the performance of duties and performs the office activities, which would otherwise require the attention of the supervisor.
Responsible for inputting time and attendance for all assigned Tohatchi Health Center personnel, and accessing the ITAS (Integrated Time and Attendance System), designated Timekeeper user.
Responsible for preparing and typing correspondence of a routine nature in response to correspondence retained for personal reply and other correspondence and materials based on verbal instructions or guidance from the supervisor.
Reviews all incoming material requiring supervisor's signature, approval or concurrence prior to presentation for procedural and grammatical accuracy, conformation with general policy, factual correctness, and adequacy of treatment.
Responsible for producing and tracking requests, purchase orders, receiving reports, and other procurement documents electronically by accessing through UFMS (Unified Financial Management System).
Responsible for receiving telephone and personal callers and utilizes knowledge of Tohatchi Health Center organizational programs, operations and procedures to make proper disposition of inquiries.
Qualifications

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-05: Applicant must successfully complete 4 years of education above high school leading to a Bachelors Degree.-OR- Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Experience maintaining filing systems, preparing written correspondence, reports, forms, interact with persons within and outside the organization, receives and answers telephone inquiries; the use of automated systems equipment and timekeeping duties. Performs tasks required to maintain electronic records, e.g., calendars, directories, spreadsheets, and databases, and/or to produce various items. Composes routine correspondence. Proofreads/edits documents for correct grammar, spelling, capitalization, punctuation, and format.
Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below.
For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
