As a Program Support Assistant you will provide administrative and analytical support for program-related activities for the Connected Care Department at the Chalmers P. Wylie Ambulatory Care Center, to include Home Telehealth, Store and Forward Telehealth, Clinical Video Telehealth, My VA Health, and VA Video Connect. Incumbent provides program support and ensures that practices and procedures are consistent with those of the office.
This position is Temporary and Not to Exceed 07/04/2026.
Duties
Assists the care line manager with coordinating a wide range of Virtual Telehealth and Home Telehealth programs by assisting staff who performs work at the GS 6, 7/N2, N3, and higher grade levels with administrative- and program-related functions.
Work with a high degree of independence managing the office while assuring timeliness and accuracy of tasks, setting priorities, and developing timesaving techniques such as:
Act as a liaison between internal and external customers by coordinating case management services with VA services and external agencies.
Assist staff with writing directives such as service line and clinic memorandums that implement programs and provide detailed information about programs, eligibility criteria, etc. Keeps staff informed of new policies and/or guidelines pertaining to their direct involvement with patient care.
Act as support for Veterans, caregivers, and VA staff with all aspects of Connected Care services, to include staffing Virtual Health Resource Center, supporting Home Telehealth nurses by calling non-responders, setting up equipment, etc., and by aiding Virtual Telehealth services as needed.
Integrating several types of software to generate specific working documents and forms; must be able to automate existing forms or create automated forms from templates for electronic processing by staff; and
Use spreadsheets to set up files, create reports for collecting data and cross-referencing.
Typing and using computers with knowledge and skills in all functions required in the performance of duties.
Installing and setting up programs and applications and must maintain current knowledge of duties and responsibilities.
Responsible for initiating National Online Information Sharing (NOIS) system for all issues that cannot be solved in the care line.
Must have effective communication skills (oral and written).
Responsible for proofreading office correspondence to ensure completeness, accuracy, tone, clarity, grammar, spelling, and compliance with established policy.
Screen calls and visitors to the care line and use proper telephone etiquette and is always professional and courteous.
Receive, process, and distribute incoming office correspondence, bringing matters requiring immediate action to the attention of the care line manager, gather and organize information into a coherent working product, and attached all supporting documentation for timely responses.
Acquire supplies, equipment, and services for the care line.
Resolve a variety of purchasing problems that could include inadequate or restrictive specifications, lack of multiple suppliers, urgent need, or insufficient pricing history required to perform tasks in a timely manner.
Procures supplies and services from reliable sources.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/05/2024.
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of Specialized experience includes Administrative and clerical work of an office, Utilizing word processing, spreadsheets, database, and software to manage information; Manages supplies and equipment by interfacing with supply, Maintaining time and attendance records, Performing data collection and preparing reports; and Receiving calls and visitors and directing them appropriately.
Time-in-grade: Applicants who are/were federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements.
For a GS-06 position you must have served 52 weeks at the GS-05 level.
To support your claim of time in grade, you must submit your most recent appointment, promotion, or within grade increase SF-50 (not an award or general adjustment SF-50). Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
