The incumbent serves as the Medical Administration Specialist for the Chief of Staff Office (COS)/Clinic Practice Management (CPM) Team at the Dayton VA Medical Center. The primary responsibility is to serve as the Scheduling Auditor for all schedulers within the Dayton VAMC and Level 1 scheduling auditors at the assigned VISN site. Auditing, monitoring, and reporting on other scheduling processes and systems may also be a role of this position.
Duties
Major duties include but are not limited to:
Performs analytical and evaluative reviews relating to the development and/or execution of various scheduling operating programs of the Dayton VA and VISN facility.
Utilizes advanced skills at analyzing and evaluating existing and proposed scheduling operations and services.
Presents data, conclusions and recommendations to facility and VISN management officials for their use in ensuring scheduling compliance.
Develops and implements training programs to ensure that quality provisions are planned, developed and implemented to identify, prevent and correct unsatisfactory conditions and elements which influence the regulatory correctness and responsiveness to facility policies and national scheduling guidance.
Designs studies, training programs, and organizational strategies for identifying opportunities to improve customer service and process quality. Performs audits of processes to ensure compliance with directives, prepares reports of findings, and prepares training that addresses deficient areas.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/25/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below: You will be rated on the following Competencies for this position:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Scheduling, auditing, monitoring and reporting on scheduling processes and sytems (i.e. Insurance Capture Buffer, VA Online Scheduling, VEText, etc).
Development and implementation of ongoing training programs for employees.
Scheduling packages or applications (VSE GUI, VISTA, ICB, CTM, VCM, VEText, Scheduling Manager etc., encounter management reporting, clinic set up procedures, customer service, new scheduling initiatives, directives, and processes, mandatory training and informational training material.
Working with facility Section Chiefs, Supervisors, Leads and Program Applications Specialists to monitor and develop seamless processes for facility with the goal of improving efficiency, effectiveness and customer service.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary, although some light physical effort may be required. There may be some walking; standing; bending; carrying of light items including training paperwork or manuals, or small equipment, such as laptop computers, mobile LCD projectors; or driving an automobile. Incumbent may be susceptible to eyestrain from working long hours on the computer.
