Duties

You will manage the administrative and clerical duties of the office of the Chief of Staff, permitting the direct supervisor to devote his/her entire efforts to program management. You will screen callers and visitors to ascertain their needs and the level of importance or urgency of the matter to determine whether they should be referred to SP01 or a member of his/her staff. You will prepare a varied range of complexity of various types of materials in draft or final form, using office automation equipment. You will identify conflict/problems within assigned programs/projects and develops strategic solutions and action plans to ensure program/mission accomplishment. You will ensure calendar events are deconflicted between Division Directors, Chief of Staff, SSP Director, and Command events calendar. You will coordinate the direct supervisor travel arrangements by planning the itinerary, obtaining necessary tickets, making reservations, scheduling appointments, ensuring security clearances are current and completing travel vouchers. You will serve as the central manager of the tasking system for SSP by coordinating with different POCs within and outside the command. You will collaborate with senior management on executive engagements. You will be lead in training the other executive assistants at the Command.

  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.

Qualifications

Your resume must also demonstrate at least one year of specialized experience at or equivalent to the NH-02 (GS-11) grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Managing administrative functions (e.g. maintaining files/documents, office budgets, negotiating resources, or reports management) to implement recommendations and solutions for improving business operations and/or processes.
