This position is located in Management Directorate, Office of Chief Information Officer, IT Field Services Division. As a Staff Assistant, you will provide management of the full range of administrative requirements to a staff comprised largely of management and senior level staff.

Duties

The responsibilities described are for the full performance level. At developmental grade levels, assignments will be of more limited scope performed with less independence, and limited complexity. Provides management of administrative requirements associated with all aspects of program operations for management and staff in the Chief Technology Office. Prepares materials such as agendas and talking points, executive briefings, staff correspondence, regular and adhoc reports, and project documents. Works closely with management and staff to track and support project activities as needed to ensure milestones and deadlines are met. Manages scheduling of group and stakeholder meetings and events for a high visibility enterprise level program office. Establishes internal processes and deadlines for program management and staff for delivering pertinent information for submission of consolidated responses and requirements. Ensures that correspondence is consistent with policies and position on complex matters. Coordinates and consolidates responses to complex, technical requests, such as IT data calls and budget submissions. Supports the development of Human Resources documents, such as vacancy announcements, organizational charts, and hiring packages. Provides tracking of Human Resources activities, such as performance appraisals, and training requests and timely completions. Attends budgetary meetings and provides dashboard tracking of action items.

The qualifications for this position must be met by 11:59 PM (Eastern Time) on 07/25/2024. Current Federal employees must have served 52 weeks at the lower grade or equivalent grade band in the Federal service. The Time-in-Grade requirement must be met by 11:59 PM (Eastern Time) on 07/25/2024. GS-11: You qualify at the GS-11 level if you possess one (1) year of specialized experience, which is equivalent to at least the GS-09 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties: Tracking actions items and due outs for the organizational program, ensuring that all requests for action or information are acted upon. Eliciting information necessary from managers and senior staff to be used for reports or responses to inquiries. Serving as the administrator for administrative systems, such as agency travel systems and/or time and attendance systems. Eliciting and consolidating information from management and senior staff to develop clear and concise materials or presentations to facilitate program responses or presentations or requirements. Following established agency procedures to facilitate administrative program requirements. OR You may substitute a doctoral degree (PhD or equivalent degree) or three full years of progressively higher-level graduate education leading to such a degree in any field, or L.L.M. if related for experience at the GS-11 grade level or such education must have been obtained in an accredited college or university and demonstrate the knowledge, skills, and abilities necessary to do the work of this position.
