The primary purpose of this position is to serve as Secretary and executive assistant to the Division Chief. Performs a variety of administrative, secretarial, and clerical duties to assist the Division Chief in carrying out assigned duties.

Duties

Performs full range of Executive Management duties required to support the Division Chief in the performance of official duties. Manages the principle's official and social appointments; interacts directly with the Division Chief's to determine official and social commitments as well as official travel requirements. Prioritizes appointment requests and resolves conflict commitments with official and social calendars. Serves in the capacity of Confidential Assistant. Performs duties of a highly confidential nature in the "privileged communications" category; receives such communications for and from the Division Chief. Acts as custodian of sensitive correspondence. Ensures strict adherence to Department of Defense (DoD) records management policies and regulations pertaining to correspondence maintained in the Division Chief's office. Prepares a full range of recurring and non-recurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources for the Division Chief. Routinely composes non-technical correspondence, such as office procedures, requests for information concerning the organization's programs, letters of acknowledgment, commendation, or notification. Collaborates with all functional areas to include budget, HR, procurement and contracting, supply, automation, etc. needed to oversees and coordinate all technical, administrative, operational, financial, and overall support requirements with all levels of management officials to manage and run the corresponding division more efficiently and effectively. Performs other clerical and administrative work in support of the office/organization. Develops, establishes, updates, and maintains office procedures and records/files of various types to ensure effective and efficient operation of the office. Serves as liaison between the supervisor and subordinate units. Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets.

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower broadband NK-01, equivalent to the next to lower grade GS-04 or equivalent in the Federal Service. Specialized experience must include preparing a wide variety of recurring and nonrecurring correspondence, reports and other documents from information obtained from the staff, files and other sources; Reviewing and processing incoming and outgoing correspondence; Receiving telephone calls, greeting visitors and ascertaining the nature of the calls or visits; Maintaining supervisor's calendar, coordinating meeting arrangements and scheduling meetings and/or conferences; Performing clerical work; Use of multiple office automation software with varied functions. OR EDUCATION: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: You must submit a copy of your transcripts. OR COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience as described above may be used to qualify for this position. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of extensive rules, procedures, or operations applied to executive secretarial and clerical assignments to perform the procedural and administrative work of the office, such as preparing and editing documents, maintaining files/records, making and preparing travel arrangements, locating, assembling and composing information for various reports, inquiries, and nontechnical correspondence. 2. Knowledge of office functions and commitments of supervisor and staff to prepare and review correspondence, to screen telephone calls and visitors, to maintain supervisor's calendar, and to perform other substantive or administrative work of the organization. 3. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports. 4. Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs. 5. Skill in typing; a qualified typist is required (40 wpm). 6. Ability to analyze reports and studies to encourage understanding, acceptance of findings, and recommendations. Also must have ability to communicate effectively and efficiently, both orally and in writing. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Additional Conditions of Employment: Position is designated special-sensitive and requires the employee obtain and maintain a TOP SECRET (TS) security clearance with eligibility for access to Sensitive Compartmented Information (SCI), other intelligence-related Special Sensitive information, or involvement in Top Secret Special Access Programs (SAP) to fully perform the duties and responsibilities of the position. A non-disclosure agreement must be signed. This position is designated as a Testing Designated Position (TDP) under the Air Force Civilian Drug Testing Program. Illegal drug use by employees in sensitive positions present a clear threat to the mission of the Air Force, national security, and public safety. It is required that you (a) refrain from the use of illegal drugs and (b) if requested, submit to urinalysis testing. Incumbent is subject to irregular work hours to include proficiency shifts, rotating shifts, nights, weekends, and holidays on an infrequent basis. Extended shift work (12 hours), and off-duty hours on-call, particularly during Command exercises, special events, and emergencies.
