Duties
This position is in the Dental Directorate on Recruit Training Command and is located at Naval Station Great Lakes, Illinois as part of the Captain James A. Lovell Federal Health Care Center in North Chicago, Illinois. The purpose of this position is to perform numerous administrative and medical/dental support functions for the clinic.
Duties include but are not limited to:
Performs clerical work in support of the care and treatment provided to patients at Dental Departments on RTC.
Ensures appointments are made with patient input where applicable and per all applicable directives and policies.
Uploads demographic information into the Corporate Enterprise Training Activity Resource to develop recruit divisional rosters.
Creates dental appointments into the electronic health record and creates hard copy dental records to include creation of physical record and labels.
Collects and compiles patient data from healthcare providers for submission into DENCAS, CDS, and MRRS for use by upper management team in support of the Navy Dental Readiness goals and initiatives.
Maintains all patient's files and ascertains that records are accurately completed and in order.
Utilizes computerized programs and databases in order to enter, modify and retrieve sensitive information and data into or from electronic scheduling systems/or reporting formats.
Demonstrates knowledge of associated dental terminology sufficient to be able to communicate effectively with both professional and non professional employees in a variety of occupations at various levels of responsibility.

Qualifications

Basic Requirements:
US Citizenship is required. (Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.g.).
ENGLISH: Must be proficient in basic written and spoken English.
EDUCATION/EXPERIENCE: Must possess six (6) months experience of clerical, office, customer service or other administrative work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant.
OR
Must have successfully completed one (1) year above high school. This education must have been obtained in an accredited technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPTS REQUIRED)
OR
Equivalent combinations of experience and education are qualifying for entry level. (TRANSCRIPTS REQUIRED)
IN ADDITION TO MEETING THE BASIC REQUIREMENTS LISTED ABOVE, YOU MUST MEET THE GRADE REQUIREMENTS AT THE GS-6 LEVEL TO QUALIFY FOR THIS POSITION.
GS-06 - Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources.
Experience: One year of experience equivalent to the GS-5 grade level. At this grade level, experience consists of: scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic; monitoring both inpatient and outpatient appointments; verifying and updating demographics and insurance information when patients check-in for appointments.
AND
Demonstrated Knowledge, Skills and Abilities:
A. Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations.
B. Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels.
C. Advanced knowledge of the technical care process as it relates to access to care.
D. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow and patient care process.
E. Advanced knowledge of dental terminology due to the technical nature of the language utilized by clinicians

Physical Requirements: The work of the incumbent is primarily sedentary but may require interdepartmental movement based on Directorate needs. Typically, the employee sits comfortably to do the work. However, there is some walking, standing, bending, reaching, and carrying of papers, records and other office supplies and materials. No special physical demands are required to perform the work.
