This position is at the National Credit Union Administration (NCUA) in the Western Region. This position serves as a Management Services Assistant. The incumbent provides clerical, administrative, and program support to the Director of the Division of Management Service and other staff within the region.
Duties
As a Management Services Assistant, you will:
Use payroll software to input data needed to produce biweekly payroll.
Serve as the primary timekeeper for a large organization.
Maintain records of time and attendance.
Reconcile time and attendance reports and corrects discrepancies.
Receive incoming calls and directs to staff members.
Produce documents requiring the use of advanced software functions.
Prepare correspondence, reports and other documents in final format using correct punctuation, capitalization, spelling, grammar and style.
Perform mail and file functions such as processing incoming and outgoing materials.
Determine records retention and disposal requirements.
Develop and maintain electronic record keeping and tracking logs for calendars, correspondence, projects, etc.
Research vendors for best combination of price, quality, and delivery.
Notify employees and supervisors of training attendance dates and handle any cancellations or rescheduling of training.
Serve as backup to Management Services Specialists in the office.
Requirements
- You must be a U.S. Citizen.
- Suitable adjudication of background/security investigation is required.
- A probationary/trial period may be required.
- Must complete initial online questionnaire.

Qualifications
If qualifying based on experience: You must have one full year of specialized experience equivalent to the next lower grade level in federal service. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.
To qualify at the CU-05 level, you may qualify based on experience, education, or a combination of the two as outlined below.
Experience: To qualify at the CU-05 level, you must have one full year of specialized experience equivalent to the CU/GS-04 level in federal service (obtained in either the public or private sectors). Specialized experience is defined as experience (1) receiving visitors or phone callers as appropriate; (2) managing an appointment calendar; and (3) preparing written material.
OR
Education: Four (4) years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR
Combination of education and experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.
NOTE: Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
To qualify at the CU-06 level, you must have one full year of specialized experience equivalent to the CU/GS-05 level in federal service (obtained in either the public or private sectors). Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. In your resume, the experience must demonstrate experience: (1) assisting with making travel arrangements; (2) updating spreadsheets or databases; and (3) drafting correspondence, reports and other documents.
To qualify at the CU-07 level, you must have one full year of specialized experience equivalent to the CU/GS-05 level in federal service (obtained in either the public or private sectors). Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. In your resume, the experience must demonstrate: (1) serving as a timekeeper using an automated system; (2) making travel arrangements; (3) developing spreadsheets (4) utilizing a database to generate reports, and (5) drafting correspondence, reports and other documents for next level review.

Education
Education used to qualify at the CU-05 grade level must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.
All education must be received by an accredited institution recognized by the U.S. Department of Education for it to be credited towards qualifications (particularly positions with an education requirement) therefore, applicants must report only attendance and/or degrees received from schools recognized by the U.S. Department of Education.
