The position is located in the Health Information Management (HIM) section of the Business and Financial Operations Service at the Veterans Health Care System of the Ozarks. The primary purpose of the file clerk position is to maintain accessible records and provide efficient service for direct and indirect patient care by managing the receipt and scanning of health documents in a timely and accurate manner.
Duties
Major Duties include:
Scans paper documents.
Indexes documents into the patient's medical record.
Indexes documents using the appropriate and approved nomenclature.
Uses Excel to track and follow-up on returned documents.
Identifies type of documents presented for scanning.
Determines if document should be scanned as an administrative or clinical document class.
Analyzes documents for scanning to ensure that they meet all archiving guidelines and determines if they can be scanned into the patient's record.
Returns documents that do not need guidelines and completes follow up to ensure the correct document is obtained and scanned into the patient's medical record.
Analyzes documents for clarity, specialty, event and authenticity
Work Schedule: Monday - Friday 8:00 AM - 4:30 PM; subject to change based on the needs of the agency.

Qualifications

You may qualify based on your experience and/or education s described below:
General Experience: You must one (1) full year of general experience related to the position of File Clerk. This can include Progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. This experience must be supported by your resume to be creditable. OR,
Education: Successfully completed 2 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. Transcripts must be submitted at time of application. Education must have been obtained in an accredited college or university and must demonstrate the knowledge, skills, and abilities necessary to do the work of this position. NOTE: Transcripts must be submitted with your application materials. Education cannot be credited without documentation. OR,
Combination: Possess an equivalent combination of successfully completed post-high school education (in excess of the first 30 semester hours (beyond the first year)) and specialized experience as described above, which meet the total experience requirements for this grade level. One full academic year of study (30 semester hours) beyond the first year is equivalent to 6 months of general experience. NOTE: Transcripts must be submitted with your application materials. Education cannot be credited without documentation. Experience must be clearly indicated in your resume.
To calculate, first identify the percentage of required education you have earned as a percentage of the one (1) year experience required for GS-04. Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-04. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is mostly sedentary; however until records have been automated, work may involve considerable walking, standing and bending in the search for health records. There is lifting and carrying of bulky records and boxes, usually not to exceed 50 pounds. Pushing carts is routine for retiring records.
