This position is located at the Clement J. Zablocki VA Medical Center, Milwaukee, Wisconsin, in the Office of the Associate Medical Center Director (AMCD). This is a developmental position leading to the target grade of GS-8. The purpose of the position is to perform administrative and secretarial functions in support of the AMCD and his/her staff by performing general office work auxiliary to the work of the organization. Duties

This position is located at the Clement J. Zablocki VA Medical Center in Milwaukee, Wisconsin within the Directors Office. (http://www.milwaukee.va.gov/). Milwaukee is located in southeastern Wisconsin, about 90 minutes from Chicago, IL and Madison, WI. Milwaukee is on the shores of Lake Michigan, the fifth largest lake in the world where Summerfest, the world's largest music festival and many ethnic festivals take place throughout the summer. Major Duties: Acts as liaison to other managers and staff within the organization and provides accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instructions. Performs general program support work such as the collection, compilation, research, and/or tracking of data and program information. Serves as a support contact between the Directors Office and the Network Director's Office for action items, reports, and the patient incident reporting adverse event program. Manages a wide variety of correspondence from within and outside the agency and decides how to handle. Screens all calls and visitors, answering most questions and completing most business involving established policy or routine matters without referring people to the Associate or Assistant Directors. Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments, arranging for meeting and small conference administrative details, or following up on action items with appropriate staff members independently. Exercises exclusive control over the Associate and Assistant Directors' appointments, with complete authority for commitment of time. Performs office automation duties using such software applications OP electronic mail, desktop publishing, calendar, spreadsheet, database, and/or graphics, scanning, copying, faxing, etc. Acts as a liaison and handles the communication with persons and/or groups within and outside of the office. The Secretary also provides administrative and secretarial support to the Assistant Director, and to the Medical Center Director, the Associate Director, Patient/Nursing Services, and the Chief of Staff in the absence of their support staff. Work Schedule: Monday through Friday 8:00am-4:30pm, negotiable Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/25/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. For a GS-08 position, you must have served 52 weeks as the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade described below: GS-7 SPECIALIZED EXPERIENCE: Must have one full year of specialized experience equivalent to at least the next lower grade level (GS-6) in Federal service that equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Specialized experience includes: Knowledge of administrative concepts, principles, and practices to independently perform duties such as eliminating conflict and duplication in extensive office procedures; Skill in advising and instructing subordinate offices concerning the required reporting and procedural instructions; Knowledge of time keeping requirements; Knowledge and skill in the use of the computer, printer, fax machine, copy machine. OR, GS-8 SPECIALIZED EXPERIENCE: Must have one full year of specialized experience equivalent to at least the next lower grade level (GS-7) in Federal service that equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Specialized experience includes: knowledge of administrative concepts, principles and practices sufficient to perform independently duties involving eliminating conflict and duplication of work, determining when new procedures are needed, studying and evaluating office equipment, and recommending restructuring of clerical activities in the office; adapting to policies and procedures to emergency situations and establishing new procedures to meet new situations; knowledge of the supervisor's policies and views on all significant matters affecting the organization; knowledge of time and leave regulations and computerized system requirements in order to post leave and answer questions on procedures and balances; collects, compiles, researches, and tracks data and program information; schedules appointments, coordinates meetings, and schedules conferences; and processes incoming and outgoing materials such as reports, memos, and other forms of written communication. TYPING PROFICIENCY: This position requires the ability to type 40 WPM. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
