The incumbent serves as a clinical service Secretary in Nursing Service at this consolidated university-affiliated, tertiary care Medical Center. The incumbent performs a wide variety of administrative, technical assignments and serves as the primary administrative person for the Chief Nurse. Under the direction and supervision of the Chief Nurse, exhibits independence and initiative in accomplishing daily tasks

Duties

Major duties include, but are not limited to: Serving as the primary contact liaison on behalf of the chief nurse and acts as a resources to management and staff within the organization. Answering questions regarding processes, scheduling, staffing, payroll, recruitment, professional standard boards, proficiencies, reports, requirement's and other matters necessary to implement the service goals, insuring the chiefs instructions are adhered to. Keeping nurse managers informed of the Chief's view on current issues and programs. Processing incoming and outgoing materials such as mail, recurring and nonrecurring reports, counseling notices, work orders, travel requests. WebHR, proficiencies, leave request, electronic trip-tiks, clearance and salary papers, and other forms of written communication. Composing and editing letters and reports, reviewing correspondence for accuracy and completeness, preparing presentation outlines, agenda's and developing standards or form letters and replies to inquiries. Gathering, analyzing and presenting data for various reports. Serving as timekeeper for three to eight Time and Leave Unites. Scheduling appointments, coordinating meetings, and/or arranging conferences by contacting participates, committee members, presenters and actively engages them in the scheduling process. Developing and maintaining a tracking or suspense file for outstanding issues. Maintaining the service chiefs appointment calendar, reminding the Chief or participants of the subject matter prior to meetings, and making administrative arrangements as required. Insuring supervisor has necessary handouts or documents in preparation of meetings/appointments. Attending staff meetings, taking, and transcribing meeting minutes for and with the chief nurse and others as appropriate. Monitoring the use of services, supplies, or equipment for the department and ordering supplies via the Dime Store or with designated purchase card holder. Work Schedule: Monday - Friday; 7:30 - 4:00pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/17/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Maintaining calendars, coordinating meetings, scheduling appointments; adapting policies and procedures to emergency situations and establishing new processes to meet new situations; updating information on clinical procedures, standard operating procedures, typing schedules, creating documents and spreadsheets, managing suspense, drafting and composing correspondence, documentation of employee education, human resource and payroll, equipment, and providing reception to visitors, minutes, referring patient's and others to appropriate personnel; utilizing computer programs, such as, Microsoft software (Word, Excel, Power Point, VISIO, Access, Outlook, E-calendar, and L YNC), Doodle, and VISTA. You will be rated on the following Competencies for this position: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Some work is accomplished at a desk in office surroundings, but must have the ability to climb stairs and carry small packages up to approximately 20 lbs. Walking, standing, bending, and carrying of light items like papers or books are frequent.
