This position serves as the Secretary to the Assistant Director of VAPIHCS and is primarily responsible for the coordination and direction of secretarial and clerical processes impacting administrative services.
Duties
As the Secretary (OA), you will:
Serve as a Records Liaison Officer by filing, maintaining, and disposing of records in accordance with RCS-10-1.
Review and screen all incoming correspondence, publications, regulations, and directives
Maintain suspense log and/or tracking system for all recurring/nonrecurring reports, congressional, White House correspondence, action documents, and VISN and other reports
Review outgoing correspondence prepared by Administrative Services and the Office of the Director for signature
Plan, schedule and coordinate the Assistant Director's meetings and conferences
Prepare agendas and record and transcribe minutes
Preside at administrative secretarial meetings to share knowledge on procedures
Prepare and arrange travel for the Assistant Director and other leaders as needed
Acquire office supplies using government credit card or process 2237
Transcribe letters, memoranda, messages, and reports from written drafts or tapes
Type proficiency reports and yearly ratings for individuals who report to the Assistant Director
Serve as timekeeper and back-up as needed
Work Schedule: 7am-3:30pm, Monday through Friday
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/24/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Typing Proficiency: You must be able to type at least 40 words per minute.
In addition to the Typing Proficiency, you must possess Specialized Experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Qualifying specialized experience includes: 1) Apply rules and regulations pertaining to records management, time and attendance, travel, purchase card nonexpendable, publication and forms control; 2) Apply knowledge of administrative concepts and practices; 3) Communicate effectively both orally and in writing; 4) Prepare presentation documentation; Maintain a calendar; 5) Create and review correspondence; 6) Apply analytical techniques to identify issues; and 7) Multi-task and prioritize.

You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is mostly sedentary in nature but occasionally requires carrying light object such as files, books, and papers. No special qualifications required.
