The Cincinnati, OH VA Medical Center is seeking a well-qualified Medical Support Assistant (Advanced) to fill a Tele-Critical Care position located in the National Tele-Critical Care Program, located within Specialty Care Services, Department of Veterans Affairs (VA).
Duties
The Advanced Medical Support Assistant (AMSA) is in the VA Tele-Critical Care System located either Tele-Critical Care Tele-Critical Care East in Cincinnati. This position functions under the guidance of the Operations Nurse Manager/Assistant Nurse Manager. Tele-Critical Care (TCC) provides remote monitoring, consultation, and co-management of patients with critical illness in Intensive Care Units located in VHA and DOD.
The major duties of the Advanced Medical Support Assistant position include but are not limited to:
The AMSA provides specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model.
Work involves specialized administrative judgement and the flexible use of a wide range of clinical flow processes relating to access to care across multiple sites and specialties.
The AMSA will recommend changes to existing TCC procedures based on current administrative guidelines.
Expertise in utilizing numerous advanced patient systems in support of multiple sites involved in an interdisciplinary coordinated care delivery model.
The AMSA is responsible for receptionist duties, customer service, managing of supplies, and other duties assigned for proper timely treatment of patients.
The employee will screen phone calls in a courteous and timely manner, determine the nature of the request and provide information using privacy rules established by the VA.
Works on multiple technical platforms: CPRS, JLV, VISTA. eCare Manager, Cerner, Outlook, and Windows.
In eCare Manager they will input admissions, enter patient data, update Discharge List, complete transfers, and changes in patient status.
The employee will be able to pull up APACHE reports, build reports and some data entry.
They will be able to use and navigate with the camera function in eCare Manager.
The AMSA will participate in team huddles and staff meetings.
The AMSA will be primary in troubleshooting technical problems, notify the appropriate staff if unable to resolve problem.
They will help to provide solutions with operational issues or procedures both in and out of team meetings.
They are responsible to provide guidance and on the job training for current employees.
They will work in collaboration with TCC educator to provide and precept new AMSA or MSA orientation. 25-50% of time will be spent in core doing direct patient care, and 50-75% of the time will be on administrative time.
The employee will manage responsibilities with minimal supervision as well as setting priorities and deadlines adjusting the flow and sequence of work to meet the team and patient needs.

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education:
Experience - Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or
Education - One year above high school; or
Experience/Education Combination - Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
Grandfathering Provision: May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: In addition to the qualifications above, you must also have:
Advanced Medical Support Assistant, GS-06
Experience: One (1) year of experience equivalent to the next lower grade level (GS-05). Experience at the GS-05 level includes but is not limited to: scheduling, cancelling, re-scheduling patients appointments; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and preauthorization requirements for specific coverage.
Demonstrated knowledge, skills, and abilities (KSAs). Candidates must demonstrate all of the KSAs below:
Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

Physical Requirements: Position requires visual acuity, adequate auditory perception, clear distinctive speech, and manual dexterity. Position requires potentially extended periods of sitting. The position requires some bending and carrying of items. The incumbent must be a mature, flexible, sensible individual capable of working effectively in stressful situations and able to shift priorities based on patient needs.
