Duties

The Lead Medical Support Assistant (MSA) position serves as the direct line lead for all Medical Support Assistant (MSA) staff and is a foundational role within the Medical Center. The Lead Medical Support Assistant leads the Ward Medical Support Assistants which perform duties that may include but not limited to: Receives telephone calls for the unit; records and relays messages to appropriate staff. Provides general information regarding visiting hours, office hours, and whether or not unit personnel are on duty. Aware of all units to which these policies apply and can identify with each. Refers all questions pertaining to a patient's status or condition to nursing staff. Responds to a code by activating the cardiac arrest paging system and clearly relaying it to the code team. Ensures that once code cart is opened, SPD is called for a replacement cart. Decodes the fire alarm bells and relays location of the alarm to staff (if applicable). Coordinates with the medical clinics to send inpatients for required tests, preoperative procedures, therapies, and scheduled appointments based on the doctor's discharge instructions. Receives, directs, transfers, and discharges patients using the VistA and CPRS/GUI systems. Receives and directs visitors; Answers routine, abrupt, and emergent inquires, and appropriately refer questions concerning patient's condition. Coordinates with nursing staff to assign rooms for new admissions and transfers. Builds a medical chart for each new admission. Ensures that all required activities are completed prior to discharging a patient, and follow-up appointments are scheduled. Responds to technical questions regarding patient rights, responsibilities, and advance directives. Signs for release of patient funds for purchase of services and secures coupons for services in a safe on each unit. Performs a variety of duties in support of data entry and collection for the unit. Ensures that admitted patients from the doctor's orders are entered in the CPRS/GUI computer system. Post patients' allergies and medical alerts on the chart and warnings and precautions and nurse/ team assignments into the Bed Management System (BMS). Prints and updates the electronic inpatient ward rosters, current lodger list, and inpatient appointment list. Maintains the Ward Gains and Losses log. Post patient's appointments, therapy times, and required labs and procedures on boards maintained at nurses' station. Verifies doctors' orders and alerts staff for time critical medications, labs, x-ray's, and EKG's. Transcribes doctors' handwritten or electronic orders onto the appropriate medication, pre-op, or treatment sheets for nursing staff. Verifies and corrects patient information in the computer systems concerning treating specialties, providers and times of movements; informs supervisor of discrepancies. Prints out and posts the most current on-call rosters, emergency list, and medical/surgical staff listing to appropriate boards and/or books on the wards. Ensures the ward's printers, telephones, fax machines, copiers, document scanners, and shredders are operational and stocked with supplies. Enters electronic work orders into the VistA system. Responds to questions from patients and visitors concerning services. Provides advisory and technical assistance to patients, administrative staff, and professional staff regarding medical care. Qualifications

Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience and Education. (1) Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, (2) Education. One year above high school; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Certification. None required. Physical Requirements: See VA Directive and Handbook 5019. English Language Proficiency. Medical Support Assistants must be proficient in spoken and written English in accordance with VA Policy. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: To qualify for the GS-06 level, your resume must demonstrate you possess the required experience necessary to possess the Knowledge, Skills, and Abilities (KSAs) required for the grade. Be specific when describing the job duties that demonstrate you possess the KSAs listed. Resume must include hours per week for work experience credit. Lead Medical Support Assistant, GS-06 (a) Experience. One year of experience equivalent to the GS-05 grade level. To qualify for this position, you must demonstrate in your resume that you have experience that includes: Entering, modifying, retrieving sensitive information into or from electronic health records, scheduling systems, and/or reports; Scheduling medical appointments in a clinical setting; Performing patient support work; Providing customer service and identifying patient concerns to ensure satisfactory resolution; Advanced level of medical terminology. (b) Assignment. The Lead MSA is responsible for answering questions for lower graded staff relating to healthcare services in an inpatient or outpatient setting. The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplaces issues, and maintains efficient workflow. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; distributing and balancing workloads; creating and maintaining employee schedules; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as a liaison between MSA and staff to resolve day to day conflicts (c) Demonstrated Knowledge, Skills, and Abilities (KSAs). In addition, you must demonstrate ALL the following KSAs in your resume: Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations. Ability to provide staff development and training. Ability to manage staffing requirements, manage priorities, and coordinate with staff in the unit in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work. Ability to review and monitor data to ensure all reports are complete and accurate.
