The position is located in the Mental Health Service Line, Birmingham VA East Clinic, Irondale, Alabama. This position supports the programs that support the seriously mental ill (SMI) population, and the Mental Health Service Line, as needed which is comprised of various duties. High intensity care is provided to seriously mentally ill patients primarily through home, community, and day treatment program visits allowing rapid attention to crisis and development of community living skills.
Duties
Program Support Assistant position provide a variety of administrative , technical and clerical support functions to the Mental Health Service and programs that treat the SMI population in accordance with established guidelines and procedures.
Duties include but are limited to:
Stay abreast of directives and instructional material pertaining to administrative practices and clerical procedures.
Prepares and assembles employee performance appraisals , privilege renewal applications, license renewals, personnel actions, travel orders, and computer access request.
Schedule meetings and arrange appointment and post reminders keeping staff informed of any revisions necessary.
Provide advice and instruction to the other clerical staff on appropriate procedures and data to be provided for the use in reports and conferences.
Serve as time keeper and completes other administrative task as assigned , assembles, prepares and submits office reports or staff time charges , and maintains personnel timecards.
Provide program participants with information according to established policies and procedures.
Consolidate information for various reports in accordance with established procedures and deadlines.
Utilize full range of computer functions such as word processing software, and desktop publishing applications to produce a variety of documents.
Prepare all types documentation such as edit letters, compose letters, report, review correspondence for accuracy and completeness, and prepare public presentation outlines.
Maintain budget budget control records and assure that funds are used in accordance with the operating budget.
Conduct inventory on equipment and advise leaders on requirements and procedures for acquisition, repair, and disposal.
Analyze adverse equality tends or conditions and initiates corrective action.
Monitor qualitative and quantitative measurements to identify quality program trends.
Work Schedule: 6:30am - 3:00pm Monday - Friday; Subject to change depending on agency needs.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/13/2024.Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: receiving visitors and telephone calls to the office; scheduling and managing a calendar of appointments; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing various computer applications such as Outlook, Word, Excel, etc.; and maintaining files. A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school.
