About the Position: Manage calendar of appointments and daily schedule of the Commandant/Director. Exercise complete control which includes determining if the meeting or person(s) warrant time on the calendar and deconflicts competing requirements. Makes recommendations to the Commandant/Director for activities on the calendar. Responds to unannounced time requirements including telephone calls and visitors not scheduled.

Duties

Coordinates closely with members of the Command Group to establish, improve upon and provided continuity of office operations. Participates in planning, directing, and coordination of procedural and administrative functions of the Director. Exercise considerable tact and diplomacy in screening callers to determine if the business can be internally or tasked to other departments. Maintain suspense for all official and social invitation addressed to the Commandant and, informing him of potential conflicts and the appropriateness of his involvement. Receive and review incoming mail directed to the Commanding Commandant, and follows through on all administrative requirements. Take notes during meetings/conferences and transfers into memorandum, minutes and/or letters as requested by the Commandant or the representative of the Commandant, assuming responsibility for all administrative requirements.

Requirements

  • This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Top Secret security clearance or access for the duration of employment. A background investigation and credit check are required.
  • The duties of this position meet the criteria for compliance with Federal and Department of the Army Drug Free Workplace Programs. This position is subject to a pre-employment screening, and random testing thereafter.

Specialized Experience: One year of specialized experience which includes serving as liaison for senior leadership and various offices of higher echelons to disseminate, compile and prepare responses to requests for information; perform routine administrative task such as screening calls, providing administrative guidance, ascertaining visitors and mail; utilizing appropriate protocol to arrange meetings, conferences, and travel arrange and utilizing computer software to prepare documents, reports, correspondence. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-08). Proficiency Required:This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
