You will serve as an EXECUTIVE SECRETARY (OFFICE AUTOMATION) in the OFFICE OF THE DIRECTOR (OD) of NAVY WARFARE DEVELOPMENT.
Duties
You will serve as the Executive Secretary/Administrative Assistant to the Office of the Director (OD) and Chief of Staff (CoS).
You will review, analyze and evaluate administrative functions and implement new or revised policies, work procedures and workflow as necessary.
You will communicate requirements to administrative professionals throughout the organization.
You will complete duties and actions on the basis of in-depth knowledge of the organization, the U.S. Navy, and its mission/functions.
You will personally respond to administrative requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information.
You will maintain the meeting calendar of the CoS.
You will remind the CoS of appointments, brief them on the topic and provide associated material (e.g., related correspondence, reports, regulations, read-aheads, etc.).
You will utilize initiative and foresight, schedules or reschedules mutually convenient times for appointments based upon personal knowledge of activities, commitments, and current issues of importance.
You will coordinate travel arrangements for the CoS and when required the Director.
You will input data into the appropriate automated travel system such as Defense Travel System (DTS).
You will review all incoming correspondence, determining proper action, and at times, prepares replies before referring to the appropriate staff.
You will ensure consistency among the staff and that documents are substantively accurate, compatible with policies, procedures, and previous decisions, and that spelling, and grammar are correct.
You will compose routine correspondence on other subjects as outlined in regulations and procedures or as discussed with the CoS (i.e. Naval awards, fitness reports, etc.) and coordinate required corrections or modifications with originators.
You will read organizational and U.S. Navy directives and instructional material pertaining to administrative practices and clerical procedures in order to be aware of new, revised, or amended procedures.
You will assist the Executive Support Specialist with dignitary visits, develop proposed itineraries, instructions, guides, materials and pertinent correspondence for the OD.
Requirements

Qualifications
To qualify for the EXECUTIVE SECRETARY (OFFICE AUTOMATION), GS-0318-09, your resume must demonstrate at least one full year (52 weeks) of specialized experience equivalent to the level of difficulty and responsibility to that of the GS-08 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following:
Experience providing technical expertise on the Naval correspondence system and be able to provide guidance to others (i.e. Directors, Department Heads, etc.) on the techniques and producers regarding all correspondence that are presented to or originated from the Executive Suite.
Experience with coordination and protocol guidance and assistance in relationship to distinguished visitors or ceremonies involving the Director, Chief of Staff, and Executive Director.
Experience performing administrative projects involving researching applicable instructions, collecting and compiling data into reports, packages, plans and point papers and submitting them for final review.
Experience utilizing automated office software systems for scheduling and monitoring management and staff activities to produce office correspondence i.e., reports, charts, spreadsheets, U.S. Navy fitness reports and evaluations; coordinating meetings, briefings, and conference notes in compliance with the Navy Correspondence Manual.
Experience utilizing various computer systems and programs necessary to carry out duties, including but not limited to Access, Word, Excel, PowerPoint, Outlook, and video-teleconference equipment.
Experience providing travel management support functions (i.e. input for fiscal year travel budget, preparing orders, scheduling travel, making travel arrangements and verifying travel vouchers, per diem and allowance policies, foreign entry, etc.).
Experience demonstrating an unusually high degree of initiative in establishing priorities and workload-handling for him/herself and organizing the administrative activities of their office.
This position requires the ability to type at least 40 words per minute. Your response to the typing skill question on the Occupational Questionnaire will be used in your qualification determination.
