Duties
Establishes and maintains custody of outpatient medical records according to regulatory guidelines and local policies. Provides information and answers technical questions about medical records without compromising patient confidentiality.
Retrieves individual medical records from the terminal digit system for scheduled appointments, walk-in patients, clinic staff use, and clinic personnel who need records for unscheduled and urgent appointments..
Uses the Medical Record Tracking (MRT ) function to scan records to the patients, appropriate clinics or back to the records room for a more effective retrieval system..
Receives patients at an open counter. Directs patients to various hospital clinics, administrative departments, laboratory, X-ray site and etc. Answers phone calls from staff, patients and/or public and greets visitors.
Receives request for copies of medical records for patients, other Medical Treatment Facilities (MTFs) and insurance companies.
Responds to inquiries from patients, their authorized representative, and other third parties (law firms, insurance companies, government agencies, etc.)..
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
- This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Tier 1 security investigation or access for the duration of employment. A background investigation and credit check are required.
- This position has a mandatory seasonal influenza vaccination requirement and is therefore subject to annual seasonal influenza vaccinations.
- This position requires the incumbent to have tuberculosis testing.
- Immunization screening is required. Hepatitis B immunization is required for all positions with direct patient contact. Applicants may be required to show proof of other immunizations depending on the type of position.

In order to qualify, you must meet the experience requirements described below. Specialized Experience: One year of specialized experience which includes establishing and maintaining outpatient medical records; reviewing medical records for technical accuracy; and utilizing automated systems such as Medical Record Tracking (MRT) and Composite Health Care System (CHCS); and processes medical records for patients from third parties (law firms, insurance companies, government agencies). This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).
Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
